Position Overview: We are seeking a highly organized and detail-oriented individual to join our administrative team as an Office Clerk III. As an integral part of our school district, the Office Clerk III will play a crucial role in providing administrative support to various departments, ensuring smooth operations within the district office.
Key Responsibilities:
- Performs clerical duties such as data entry, filing, photocopying, and scanning documents.
- Maintain and create accurate records and databases related to student transcripts, grading, report cards and other pertinent information.
- Communicate to all staff responsible for grade reporting required protocols, monitor their completion, communicate with staff as necessary, and assure accurate finalization of grades.
- Assists with the preparation and distribution of reports, correspondence, and other materials as needed.
- Manages incoming and outgoing communication, including phone calls, emails, and mail.
- Provides excellent customer service to students, parents, staff, and visitors, addressing inquiries and concerns in a timely and professional manner.
- Coordinates scheduling and appointments for district personnel, meetings, and events.
- Schedules and manages all college visitations to the high school.
- Collaborates with colleagues to support special projects and initiatives as assigned.
- Orders and prepares graduation diplomas and associated materials.
- Adheres to established procedures and protocols to ensure compliance with district policies and regulations.
- Performs other related tasks as assigned by the Principal, Assistant Principals and Counselors.

Civil Service: Those individuals classified as Office Clerk III OR reachable on the current Civil Service Office Clerk III list OR otherwise qualified by the rules of the Monroe County Civil Service Commission will be considered.
You do not need to be on the Civil Service list or hold the title, but if you are the selected candidate then the position would be temporary. You must than take the next available exam for the title and be reachable on the list to be permanently appointed.
Qualifications:
- Graduation from high school or possession of an equivalency diploma, plus EITHER:
- Successful completion of at least thirty (30) credit hours from a college or university; OR
- One (1) year paid full-time or its part-time equivalent office clerical or secretarial experience*; OR,
- An equivalent combination of education and experience as defined by the limits of (A) and (B) above.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications.
- Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
- Detail-oriented with a high level of accuracy in data entry and record-keeping.
- Ability to work independently with minimal supervision as well as collaboratively within a team environment.
- Flexibility to adapt to changing priorities and deadlines in a fast-paced work environment.
- Commitment to maintaining confidentiality and handling sensitive information with discretion.
- Displays a positive attitude and builds healthy relationships with students, staff and families.
* Experience as a Teller, Cashier or Sales Clerk will not be considered appropriate experience for the purposes of these minimum qualifications.
