We are looking for an Office Administrator to join our Corporate Service Group! The Office Administrator is responsible for ensuring all aspects of office operations are executed effectively. This position will act as the point person for all office-related matters and will build out the experience for everyone who walks through our doors - from employees, candidates, vendors, and customers. This position will be based out of our Waltham headquarters but will also support Cannistraro's Center for Fabrication, Industry and Design Center (FID) in the Seaport and our Worcester location.
In this role you will:

  • Oversees the day-to-day office operations.
  • Creates and manages office standards for the administrative functions.
  • Manages office supplies. Responsible for ordering, setting procedures, setting yearly budget, and tracking.
  • Maintains and manages all Cannistraro-branded materials (e.g., jackets, t-shirts).
  • Manages general office cleanliness and maintenance. Serves as a point of contact for the building's facilities department for coordinating repairs, overseeing janitorial/cleaning service, and ensuring lease compliance.
  • Acts as the liaison for all external vendors: cleaners, technicians, delivery teams and manages vendor invoices.
  • Monitors the hoteling booking software and runs weekly utilization reports.
  • Manages food service by ordering food and drinks for team meetings and the weekly ordering of fruit for the office.
  • Greets visitors and ensures a welcoming and professional environment.
  • Answers and directs incoming calls and inquiries.
  • Manages incoming and outgoing mail and packages.
  • Monitors conference rooms to ensure they are always ready for staff and guests.
  • Assists group Administrators in meeting room set up.
A successful candidate will have:
  • Three (3) to five (5) years of experience.
  • Associate degree or equivalent experience in a related field.
  • Demonstrated written and verbal communication skills.
  • Proficiency in using office software such as Concur, Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant software is crucial.
  • Demonstrated organizational and time management skills.
  • Ability to provide excellent customer service, whether it's to clients, visitors, or employees.
  • Ability to identify and resolve issues that may arise in an office environment.
  • Ability to adapt to changing circumstances, tasks, and technologies.
  • Some knowledge of basic accounting principles may be required for tasks like expense tracking and invoice processing.
  • Ability to identify issues and find effective solutions.
  • Collaboration with colleagues and team members is essential to achieve organizational goals.
  • Familiarity with office equipment such as printers, scanners, and phone systems.

Physical Requirements
Sedentary Work - Exerting up to 10 pounds of force occasionally (Occasionally: activity or condition exists up to 1/3 of the time) and/or a negligible amount of force frequently (Frequently: activity or condition exists from 1/3 to 2/3 of the time) to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
