The Office Administrator will direct the daily office operations to ensure general workflow and office procedures are followed and are current. Maintains office by organizing office operations and procedures which may include, preparing payroll, responding to correspondence, organizing filing systems, technology setup/trouble shooting, assigning and monitoring clerical functions.
Expectations:
Main point of contact for Front Desk activities:
- Supervise receptionist and assist with front desk coverage.
- Assist with mail/post office questions or concerns – end of week mail run.
Point of contact for office vendors, supplies, technology, and concerns:
- Purchase and maintain inventory of office supplies including general and specialty supply orders, letterhead, envelopes, business cards, standard forms and documents.
- Coordinate schedules of office vendors as needed (cleaning company, water company, pest control, shredding service, etc.)
Contact for all computer troubleshooting and set up.
- New user setup, network, Teams, new computers, printers, scanners, etc. with guidance/help from outside IT company.
- Maintain office security and entry fobs/facial recognition and updates.
- Communicate with phone and fax companies as needed for troubleshooting and repairs/replacement.
Policy and Procedures:
- Develop, communicate and reinforce policy and procedures for staff - Employee Handbook.
- Supports company operations by maintaining departmental documents – Document Control.
- Work with departmental managers to ensure current SOPs are updated and available to the appropriate staff members.
- Coordinate SOP training for new hires.
- Review of standard forms/documents to make sure contact information is correct.
Hiring/Staffing:
- Advertising/recruiting for office staff
- Onboard new staff members
- Position descriptions and talent acquisition
Administration:
- Maintain employee files
- Processing Payroll Oversee compensation and benefits
- Oversee scheduling and performance reviews/evaluations of all staff
- Compile timesheets for payroll processing
- Update management on staff conversations, attendance and performance
- Main point person for Payroll vendor
- Benefit Administrator
Requirements
- Proven experience in an administrative, human resources, real estate or office management role
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication and interpersonal skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to handle confidential information with discretion
- Detail-oriented with a high level of accuracy in work
- Ability to multitask and work well under pressure
Job Type: Full-time
Pay: $24.00 - $27.00 per hour
