Ellucian is seeking a dynamic Office Administrator in our Malvern, PA office who will provide administrative support across various areas. The ideal candidate for the role is a flexible problem-solver who has superb communication skills and a detail-oriented mindset. This person should have experience thriving in an administrative role, effective multitasking and a unique ability to handle various projects at once.
Where you will make an impact
- Answer multi-line switchboard, greet visitors
- Shipping & receiving; processing/delivering mail
- Order/monitor/stock inventory of all products related to the facility
- Assist with catered lunch set-ups
- Maintain spreadsheets/Word documents for facility related functions
- Manage security access control system; responsible for creating and maintaining precise records for employee ID access badges, ensuring timely de-activation as needed; distribute and monitor temporary access badges
- Maintain floorplans showing employee space assignments
- Trouble shoot and/or contact the appropriate vendor for all operating issues related to maintaining the facility, includes but not limited to electrical, plumbing, HVAC, copier/fax/printers and general maintenance projects
- Schedule/monitor work performed by contractors and vendors as required
- Create Purchase Requisitions and process invoices
What you will bring
- Associate degree (Bachelor’s degree preferred)
- Three to five years prior experience in facility related areas
- Prior experience in answering multi-line switchboard strongly preferred
- Basic Microsoft Office Suite, familiarity preferred with FedEx and postal/courier services
- Strong organizational, time management and customer service skills
- Ability to handle stressful situations, multi-task and prioritize projects
- Ability to work independently and communicate well with all levels of management across the organization
- Must have strong interpersonal skills and ability to work in a team environment
- Proactive self-starter and independent problem solver
- Flexibility to adjust working hours for special events/circumstances
- Ability to lift to 25 pounds
