Black Eagle Fire & Security is seeking an Office Administrator for its Santa Clara California Office ~ The Successful candidate will support the day-to-day operations in the office.
The Role:
This position is responsible for coordinating and overseeing all administrative duties. This level of support includes but is not limited to project coordination, screening calls; managing calendars; making travel, meeting, and event arrangements; preparing reports; and customer relations.
Qualifications:
· Strong written and verbal communication skills.
· Detail-oriented with the ability to multi-task.
· Be fluent with software such as Excel, Word, Adobe, and Microsoft 365.
· Strong customer service skills.
· Attention to detail.
Key Responsibilities:
· Welcome and greet visitors and customers.
· Answer telephone calls, handle inquiries, and transfer them to the appropriate party.
· Communicate with vendors and customers to ensure orders are placed, parts are delivered, and issues are resolved in a proper and timely manner.
· Write and distribute emails, memos, letters, faxes, and forms.
· Light bookkeeping: Process work orders, invoices, and purchase orders.
· Calendar management to include organizing and scheduling appointments and/or meetings.
· Prepare documents: agendas, and presentations.
· Make travel arrangements and process related expense reports.
· Order office equipment and supplies as needed.
Requirements:
· Minimum 2 years of office administration experience.
· Fire & Security industry knowledge is a plus. (Highly Preferred)
· Must be professional, communicative, positive, and dedicated.
· Customer service experience.
