Position Overview

The Office Manager is responsible for a wide range of duties related to supporting our environmental nonprofit, and keeping a distributed, watershed-wide organization running. These include building operations, governance matters, software solutions, ordering and organizing supplies, and being the welcoming face of our headquarters in Greenfield, Massachusetts. We seek someone with professional experience in office management and a personable demeanor to interact with a wide range of staff, constituents, vendors, and partners.

This position will report directly to the Executive Director and interact with all staff. The ideal candidate is expected to be physically present in our office daily, with occasional hybrid days.

Responsibilities:

  • Building Operations: acquire and manage supplies and equipment; manage all maintenance and repair activities; interface with tenants; assist with calls, mail and store orders; manage climate emissions tracking
  • IT: install and troubleshoot Outlook, Teams, SharePoint, OneDrive, Dashlane, Zoom, Adobe Norton, DocuSign and other programs; set up for remote meetings; organize historic and active document files
  • Insurance: submit applications and renewals for insurance policies, manage any claims
  • Finance: assist with monthly credit card attribution, and other duties as assigned
  • Corporate and Governance: submit regular filings and track compliance efforts; support the Board of Trustees, including scheduling meetings, providing reports, and filing minutes; schedule monthly staff meetings
  • Communication: oversee general email inbox for the organization and field inquiries to other staff as needed

Optional Additional Responsibilities:

  • HR Administration: manage recruiting and hiring, on and off boarding, and benefits administration; support institutional DEI efforts and/or
  • Executive Support: manage calendar, travel, and files of the Executive Director; organize and distribute Board packets; other duties as assigned

  • Managing a range of office needs (mail, software, scheduling, supplies, repair and maintenance)

  • Tech-savviness and ability to develop efficient company processes
  • Demonstrated commitment to promoting diversity, equity, inclusion, and fostering belonging in workplace culture
  • Excellent organizational skills and attention to detail when writing, scheduling, filing, providing links, responding to vendors, or booking venues
  • Ability to lift and carry bulky items weighing up to 25 pounds, including up and down stairs

Salary and Benefits

The salary is competitive. CRC provides medical, dental and vision benefits and up to a 3% match for retirement.

The Office Manager will work in person in our Greenfield, MA, office with the possibility for occasional hybrid days. Applicants must be able to travel within the Connecticut River watershed and regularly attend staff meetings and regional events.
