This job is for an Administrative Assistant who will be supporting the leasing department in a real estate management firm. The ideal candidate should possess strong administrative and organizational skills to ensure that day-to-day tasks, as well as tenant and outside agency inquiries, are addressed in a timely and effective manner. As an Administrative Assistant, you will play an integral role in managing rental assistance programs (Section 8, City FHEPS, etal), as well as in communicating with SCRIE/DHCR and ensuring compliance with regulations.
· Respond to leasing inquiries by phone, email, and written correspondence
· Respond to requests from outside tenant advocate agencies
· Maintains filing systems as assigned.
· Update and retrieve information as requested from records, email, and other related documents; prepares written summaries of data when needed.
· Responds to and resolves administrative inquiries and questions.
· Work with other departments (property management) to address tenant concerns and gather necessary documents for court proceedings
· Perform other related projects and tasks as assigned by supervisor.· Excellent verbal and written communication skills
· Excellent interpersonal and customer service skills
· Proficient in Microsoft Office Suite or related software
· Excellent organizational skills and attention to detail
· Basic understanding of clerical procedures and systems such as recordkeeping and filing
· Ability to work independently
· Knowledge of rental assistance programs (Section 8, City FHEPS etc.), SCRIE, DHCR compliance from landlord or agency perspective
· Knowledge of Major Capital Improvement (MCI)
· Knowledge of Yardi, preferred but not mandatory
