Position Overview
Reporting to the Internal Distribution Manager, the Internal Distribution Coordinator has the overall responsibility of ensuring food product is distributed in a timely, equitable, and safe manner, to the Partner Agency (PA) network and through various distribution programs. While the focus is distribution to avoid waste and provide food to those in need, this position also ensures distribution is within compliance of PA guidelines (taking capacity into consideration); the policies and guidelines of CTFB; Feeding America; Texas Department of Agriculture; and Department of Health as they relate to the PAs.
Relationships
This position is highly visible requiring strong relationship management and communication skills internally specifically the Warehouse and Food Industry departments to ensure timing of incoming product, CTFB’s storage capacity, and transportation schedule, as necessary to move product in a timely and efficient manner.
Your Qualifications
- High School Diploma or equivalent.
- 1+ years of food service, manufacturing, warehouse, or food service
- Experience or willing to learn within a timeline in warehousing and demonstrated ability to operate various types of forklifts, pallets jacks, and other common warehouse equipment
- Ability to work in various climate conditions (warehouse, freezer, and cooler)
- Demonstrates good judgment and discretion
- Experience providing superior customer service with a focus on relationship management in a service-delivery setting.
- Ability to adapt timely and fast-paced communication style to unique audience and cultural context, proactively identifying and overcoming breakdowns in communication.
- Flexibility in response to change, adapting quickly to shifting priorities while staying focused on solving problems with creative solutions.
- Experience with federal feeding programs through the USDA.
- Experience using Microsoft Office Suite.

Your Responsibilities
- Coordinates product allocations (when applicable), product tagging, order staging for PA marketplace, mobile distributions, special event distributions, online ordering, inventory transfers and deliveries.
- Ensures distribution of product in a timely manner, taking the capability and capacity of the PA into consideration and consulting with the Compliance and Capacity team.
- Crosschecks and validates orders at loading docks during PA pick-up appointments.
- Ensures all deliveries and transfers have the required documentation.
- Move staged orders for pick-up from staging area to PA bay door and/or load directly onto PA trucks during pick-up appointments.
- Operate common warehouse equipment as needed including pallet jacks, forklifts, and other equipment.
- Requests, allocates, and coordinates USDA product with PAs and other CTFB departments.
- Maintains the presentation, safety of PA Marketplace; ensures agencies and orders are processed in a timely manner, all while ensuring food safety, warehouse, and CTFB guidelines are met by PAs and CTFB staff.
- Oversees the PA marketplace to include opening, maintaining, and closing the marketplace in preparation for the next day, daily marketplace inventory reconciliation, in accordance with CTFB procedures.
- Identifies agency needs and connects them with appropriate product.
- Assists other members of the Network Services team as necessary, including Order Clerk and Sort Coordinator functions.
- Provide excellent customer communication and service, while simultaneously ensuring agencies are compliant with all policies.

- Perform additional duties as necessary and/or requested including utilizing language skills you possess for those we serve and the organization.
Working Conditions
- Hours of Operation: Although organization hours are Monday-Friday, 8:00 a.m. – 5:00 p.m., after hours work is required occasionally throughout the year, especially during peak times and disaster relief.
- Environment: Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, repetitively lift and carry 50 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
- Conditions may include working inside, working around machines with moving parts and moving objects, working closely with others, working alone, and working protracted or irregular hours.
- Equipment (machines, tools, devices) used in performing only the essential functions include computer and related equipment, calculator, copier, fax machine, telephone, and various types of forklifts, pallets jacks, and other common warehouse equipment.
- Travel: CTFB serves 21 counties in central Texas and often requires same-day travel between counties, using a personal vehicle, CTFB passenger fleet and possibly occasional out of town travel for meetings, special events or meeting for some positions.
