EveryMind is hiring a Human Resources Coordinator join our Human Resources team. The Human Resources Coordinator performs routine Human Resources (HR) administrative tasks required to administer and execute human resource programs. This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance andHuman Resources Information Systementry.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Maintain updated and compliant records for all employees, volunteers, interns, and consultants using various databases such as Outlook, Excel, HRIS, and other platforms as necessary.
  • Support and coordinate workforce training, staff events, and recognition programs.
  • Assist with workforce recruitment, screening, onboarding, and new hire orientation.
  • Conduct or facilitate all background checks and complete workforce clearance and employment verification inquiries. Assist in or prepare correspondence as requested and maintain relations with background check vendors.
  • Manage the creation and maintenance of all HR files and oversee I-9 form management.
  • Handle the submission of HR invoices.
  • Generate HR reports, track projects, and provide updates as necessary.
  • Support communication with the workforce, vendors, and partners.
  • Collaborate with different departments to ensure accuracy of volunteer, contractor, and employee information across all systems, reports, and files.
  • Collaborate with HR and Finance on all audits, including financial, compliance, government, and program audits.
  • Submit HR compliance and non-compliance reports such as OSHA, EEO-1, unemployment, benchmarking surveys, CIJIS site maintenance, and staff surveys.
  • Manage all Docusign documents and maintain policies/documents in HRIS and HR Organization SharePoint.
  • Review and respond to unemployment claims with appropriate documentation, and review monthly unemployment statements.
  • Perform other assigned duties.

Supervision to be exercised:

This position has no direct reports. Will help train HR interns and volunteers.

Reports to Director of Human Resources


Education:

Bachelor's degree in Human Resources or related field and/or equivalent experience.


Experience:

Experience working with staff, contractors, volunteers and interns. One year of human resource experience required. Experience with (HRIS) and Applicant Tracking systems (ATS). Experience using MS Office Suite strongly preferred.


Skills:

Ability to work productively with many different types of people, excellent verbal and written communication skills. Ability to work independently and as part of a team. Organized and detail-oriented. Ability to work in an environment that requires high level of discretion and ability to work with sensitive and confidential information. Strong analytical and problem-solving skills. Ability to prioritize tasks and to delegate them when appropriate. Must be able to work in a fast-paced environment. Basic/entry level knowledge of employment related laws and regulations. Proficiency with or the ability to quickly learn the organization’s HRIS and ATS.

Effectively interact and work collaboratively in a flexible work environment with a variety of constituents, including CEO, board members, service members, veterans, interns, volunteers, paid staff, and community partners. Ability to express ideas with clarity, confidence, and sensitivity. Must be able to maintain confidentiality in accordance with organizational and federal guidelines. Familiarity with working with and hiring paid staff, interns and volunteers. Ability to manage a high volume of tasks and complexity in a fast-paced work environment, shifting priorities as needed.

While performing the duties of this job, the employee is regularly required to stand, walk and sit. The employee must be available to perform the duties of the job mostly during core business hours (between 9-5pm, M-F), some flexibility with schedule may be available (evening and/or weekend hours). Employee will work mostly on-site but may work some hours remotely with approval of supervisor. The employee must pass a criminal background check. Certain job functions may require employee to pass a child sexual abuse and other criminal activity as well as a credit check. All staff providing services to staff or clients, must be free of illegal drugs and abuse of alcohol, and must be fully able to perform all required duties at all times.


The employee is also required to travel to different locations. Therefore, the employee must possess a valid driver’s license and have access to a vehicle.
