The Human Resources Coordinator role will be responsible for providing administrative support to the Epoxy HR team.
DUTIES AND RESPONSIBILITIES
May include, but are not limited to, the following:
- Will be processing hourly union payroll for the Deer Park location
- Provide administrative support to the HR business partners
- Prepare reports in Word and/or Excel and assist with PowerPoint materials. May include formatting, editing, printing and/or copying text, data, and graphics. May also include preparing mail merge documents in Word, VLOOKUP and other complex Excel formulas.
- Provide support for various projects and initiatives; arrange team meetings
- Update organization charts
- Assist with the preparation of HR annual processes for the HRBP: Performance Calibration Review Sessions, Merit Process, Open Enrollment, etc.
- Prepare confidential material on behalf of the team
- Maintain a list of follow-up items for future dated actions and bring to the attention of the appropriate HRBP.
- Complete monthly reporting as requested
- Monitor the HRBP mailbox and escalate issues to proper HRBP as needed
- Assist with the organization of job descriptions
- Ensure compliance with Workplace Labor Law Poster requirements
- Organize and maintain personnel files
- Maintains employee records in Workday ensuring accuracy, compliance, and confidentiality to include transactions such as: New hires, changes, transfers, return to work, and terminations
- Create job requisitions for routing and monitor the approval routing process through completion
- Provides oversight of the disability program - tracking leaves and return to work consistent with the Benefits process.
- Assist with employee inquiries, quickly answering questions in a professional manner and guiding employees to appropriate resources as needed.
- Liaise with other departments (payroll, benefits, etc.)
- Collaborate with the HR Coordinator - Talent Acquisition to coordinate all related logistics for open positions (candidate interviews, confirmation of work clearance for new hires start date, validation of onboarding online process submitted prior to date of hire, and scheduling new hire orientation).
- Coordinate Onboarding Process. Complete Form I-9, verifies I-9 documentation, processes e-verifications (E-Verify), and ensure completion of onboarding online process by new hires.
- Coordinate and assist in offboarding of exiting employees
- Develop/maintain a well-organized electronic filing system that permits easy reference or retrieval of information.
- May Submit and code vendor invoices in vendor invoice management system.
- Fully support Company goal of continuous improvement and operational excellence at tactical levels including reviewing area of responsibility for improvement opportunities to initiate projects or communicate ideas to management as well as active participation on project teams.
- Comply with all Company policies and procedures. Any additional responsibilities or tasks as assigned.
EDUCATION, EXPERIENCE AND QUALIFICATIONS
- High School Diploma and 5 years of related experience supporting Human Resources
- Demonstrated solid proficiency in Word, Excel, PowerPoint and Outlook.
- Prior experience in Workday required
- Previous experience processing payroll required
- Demonstrated strong interpersonal and communication skills, both verbal and written.
- Ability to work independently and to exercise good professional judgment.
- Ability to multi-task and take direction from multiple people, including proven ability to work effectively under pressure in a fast-paced environment.
- Strong initiative, proactive manner and persistence in follow-up.
- Possess strong organizational skills with a proven ability to prioritize.
- A high level of attention to detail and accuracy.
- Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information with tact, diplomacy and discretion.
- Ability to work well in a team environment, including cross-functional teams. Comfortable dealing with employees at all levels of the organization.
