The Remote Work Coordinator is responsible for providing administrative support to the Business Operations Team with a primary focus on the Remote Work program. The incumbent will facilitate remote work requests, maintain and track research, evaluate and track risks, coordinate administrative functions, support special projects, and provide other Organizational Excellence (OE) support. This position will proactively work with OE staff, Legal and Compliance, Payroll, the Business Operations Team, members of management, and agency employees.
WHAT YOU WILL DO:
Administrative Support
- Serves as the Remote Work Coordinator, working with managers and employees to document appropriate status, reviews employee documentation, follows up as needed, and resolves issues related to documentation.
- Processes and coordinates remote work requests.
- Coordinates the annual Remote Work Certification process.
- Serves as the Teacher Retirement Investment Company of Texas Ltd. (TRICOT) Coordinator for human resource-related administrative activities.
- Maintains and processes digital and physical records for the Remote Work program as well as for TRICOT employees including scanning and indexing of records.
- Maintains spreadsheets, databases, and other automated applications, and prepares queries and reports as required.
- Assists in researching, compiling, and analyzing data related to the Remote Work program.
- Assists in audits of data in retention database to ensure accuracy.
- Assists with development and review of forms, correspondence, reports, and other documents for completeness and acceptability.
- Assists in the classification and organization of materials and data for employee files related to the Remote Work program and TRICOT employees.
- May develop and maintain forms and templates within DocuSign for OE Divisional use.
- May assist with coordination of remote work content related to the Manager’s Toolkit.
- May provide general administrative support to other Organizational Excellence (OE) staff and program areas department, including preparing correspondence, forms and other documents.
- Assists the OE team in responding to general employee inquiries, requests, and assists with day-to-day operations.
- Serves as backup for other OE Coordinator positions to ensure continuity of operations during staff absences and peak periods.
- May assist with division-wide committees, events, and special projects including employee recognition programs and events.
- Performs related work as assigned.
WHAT YOU WILL BRING:
Required Education
- Associate’s degree from an accredited college or university.
- Education and experience may substitute for one another.
- Two (2) years of full time, directly related progressively responsible experience in administrative support or related experience.
- Two (2) years of directly related human resources experience.
- Experience handling HR documentation including employee files and personnel actions.
- Experience using HRIS systems, including CAPPS.
- Basic understanding of HR policies and practices.
- Experience related to Remote Work programs.
- Human resources principles and practices.
- Strong computer skills including Microsoft Outlook, Word, Excel, and Power Point.
- Effective written and verbal communications, including preparing and delivering complex correspondence, reports, presentations, and proposals.
- Maintain employee confidentiality.
- Provide quality customer service.
- Research, compile, and interpret information of varying complexity in a clear and concise manner.
- Organize and prioritize work to manage a high-volume workload in a fast-paced environment, and complete work accurately while meeting deadlines.
- Establish and maintain harmonious working relationships with co-workers, agency staff and external contacts, and to work effectively in a professional team environment.
