- Retrieves message from voice mail and forwards to appropriate personnel.
- Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or departments.
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
- Monitors visitor access and issues passes when required.
- Maintains schedules for executive personnel and conference room use.
- Updates phone extension directory.
- Receives, sorts and routes mail, and maintains and routes publications.
- Creates and prints fax cover sheets, memos, correspondence, reports and other documents when necessary.
- Assists HR Generalist/Manager as needed.
- Performs other clerical duties as needed, such as filing, photocopying and collating.
- Prepares outgoing mail and correspondence, including e-mail and faxes.
- Makes sure applications for employment are complete.
- Maintains the security camera.
- Management must contact the Human Resource department for adding to or changing a significant number of duties.
- Two years experience in a receptionist environment.
- Strong phone etiquette and ability to communicate with customers and vendors Organizational skills.
- Knowledge of basic mathematics.
- Ability to interact with a team of coworkers.
- Knowledge and experience with Microsoft Office, i.e., Excel, Work and Outlook.
- Able to read and comprehend documentation written in the English language.
- Written communication skills.
