Executive Assistant and HR Administrator
Reports to President & CEO
Location: Hybrid (anticipated start date May 1)

We're looking for an Executive Assistant/HR Administrator for a role that provides comprehensive support to our President & CEO and VPs, plus HR administration functions. The ideal candidate will have a high level of organization, emotional intelligence, executive function and technical skills with administrative operations, HR functions and Benefits Administration. This is a hybrid role from our office in San Jose, CA. Must have solid experience in C-Suite support and HR administration.
Role Description
The successful candidate will interact with all levels of employees, Board of Directors, and external partners. The Executive Assistant aspect of the role will involve responding to emails, scheduling appointments and organizing meetings, some legal tasks, document processing as well as acting as the point of contact between executives, employees and the Board.
The HR Administrator will involve maintaining HR records, recruiting, onboarding/offboarding, supporting the company HR needs, and ensuring compliance with company policies and state/federal regulations. Experience with PEO platforms is preferred.
Responsibilities
Provide administrative support including, but not limited to, calendar management, travel arrangements, and email correspondence, HR functions and other duties as assigned.
- Maintain the highest standards of confidentiality and professional discretion.
- Manage digital organizational systems to manage tasks, documents, and schedules using MS Office, Outlook, Zoom, MS Teams, Sharepoint, Host Analytics/Planful
- Responsible for department budget and company headcount tracking
- Assist with the preparation of meeting materials and presentations.
- Coordinate and plan meetings, Board Meetings, and other events, both internal and external.
- Serve as a communication bridge between the Executives and other departments, as well as external stakeholders, facilitating clear and effective communication at all times.
- Provide a high level of executive function and technological proficiency
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Flexible and able to work outside of normal business hours as needed

- Proactive thinking & the ability to anticipate problems is critical.
- HR Administration includes recruiting, onboarding/off-boarding, employee records, benefits coordination, mandated training, compensation changes, etc.
- Maintain employee records and ensure accuracy and compliance with company policies and federal and state regulations.
- If you are outside the local area, some travel may be required.
Qualifications
- Must be a US citizen
- Bachelor's degree or equivalent experience in Business Administration or Human Resources
- 10+ years progressive executive assistant experience required
- 5+ years HR experience preferred.
- Ability and desire to learn multiple systems and processes, taking on additional responsibilities as assigned
- Proficiency in MS Suite, PEOs (e.g. TriNet/ADP), Zoom, DocuSign, Adobe Acrobat Pro, Host/Planful Analytics
- Strong organizational, communication, and time management skills
- Excellent written and verbal communication skills
The targeted base pay for this role is $90,000-130,000 Pay is based on a number of factors including market location and may vary depending on job-related knowledge, education, skills, and experience. This will be a 40-hour work week.
