Job Description – Part Time HR Assistant
- REPORTING RELATIONSHIPS
- The Human Resources Assistant is selected by, and reports to, the HR Manager.
- PURPOSE
- The purpose of this Operating Procedure is to establish and define the authority, accountability, reporting relationships, responsibilities, duties, and measures of performance of the Human Resources Assistant of Virtex Enterprises LP.
- BASIC FUNCTION OF THE HUMAN RESOURCES ASSISTANT
- The basic function of the Human Resources Assistant is to perform administrative duties, such as maintaining employee databases and sorting emails for the HR Department.
- Maintain proper records of employee attendance and leaves.
- Onboarding of new hires and contract workers.
- Assist HR Manager in policy formulation, hiring and salary administration.
- Submit online job postings, shortlist candidates and schedule job interviews.
- Ensure smooth communication with employees and timely resolution to their queries.
- Receptionist duties-(backup) greet and check in all visitors.
- (Backup) Ensures ITAR guidelines are being met as first point of contact.
- JOB REQUIREMENTS
- Provide effective communication both internally and externally.
- Effective HR administration and people management skills.
- EDUCATION
- Required: High school diploma or two or more years’ experience in Human Resources.
- SKILLS, KNOWLEDGE, AND ABILITIES
- Ability to guide, direct, and coordinate a Human Resources Department with two or more employees in the Department.
- Demonstrated ability to effectively work a multi-task Department in an efficient manner.
- Ability to communicate effectively with existing and potential employees, candidates, customers and vendors.
- Ability to respond to common inquiries or complaints from employees, customers, vendors, regulatory agencies, or members of the business community.
- Excellent knowledge of the industry and trends impacting the business.
- Computer literate in basic office/accounting programs.
- Ability to effectively communicate, in English, both verbally and in writing.
- DUTIES AND RESPONSIBILITIES: The duties and responsibilities of the Human Resources Assistant include, but are not limited to:
- Data Entry
- Assist with the recruitment process by identifying candidates, performing reference checks and issuing employment contracts and offer letters.
- Maintain calendars of the HR management team.
- Schedule meetings, interviews, HR events and maintain agendas.
- Complete termination paperwork and exit interviews.
- Prepare new hire packets.
- Maintain digital and electronic records of employees.
- Keep up to date with the latest HR trends and best practices.
- Ad hoc responsibilities as assigned by HR Manager.
- MEASURES OF PERFORMANCE
- The Human Resources Assistant of Virtex Enterprises LP shall be deemed to be performing in an acceptable manner when the following have been accomplished:
- The timely preparation of interviews, recruiting and hiring processes.
- Performance of all personnel has been evaluated on or before the due dates.
- Subjectively, by the morale of the employees (relating to the performance of the Human Resources Assistant) within the Company and within the Departments.
