Position Overview:
The Onboarding & HR Administrative Assistant will be responsible for managing the end-to-end processes as it relates to preparing new hires to join the company and facilitating seamless departures for exiting employees. In addition, the Onboarding & HR Administrative Assistant will act as an administrative assistant to the HR Manager helping with various Human Resources-related tasks as needed. This role requires a meticulous attention to detail, timeliness, professionalism, excellent communication skills, a high-level of confidentiality, and a customer-centric approach to ensure a positive experience for all individuals involved. The Onboarding Specialist will report to the HR Manager.
Key Responsibilities:
1. Onboarding:
- Coordinate and execute the onboarding process full-circle in ADP and other relevant software for new hires, including but not limited to:
- Assisting new hires with completing necessary paperwork and documentation.
- Coordinating with relevant departments to ensure setup of necessary equipment, access to systems, and training schedules.
- Send and distribute results of new hire onboarding survey to appropriate parties (survey provided by HR Manager).
- Serve as the primary point of contact for new employees, addressing inquiries and providing support throughout the onboarding period.
- Continuously evaluate and suggest ways to improve the onboarding process to enhance efficiency and effectiveness, incorporating feedback from stakeholders.
- Keeping HR Manager and other necessary personnel up to date with new hires joining the company.
2. Termination:
- Manage the termination process in ADP and other relevant software full-circle with sensitivity and professionalism, adhering to company policies and legal requirements.
- Send exit survey (survey provided by HR Manager) to gather feedback and insights from departing employees, identifying areas for improvement and potential areas of concern. Survey feedback to be communicated with appropriate parties in a timely manner.
- Coordinate the collection of company property, including equipment, access cards, and other assets, ensuring a smooth transition for departing employees.
- Internal documentation uploaded to ADP related to termination, including termination letters, write-ups, etc.
- Collaborate with relevant stakeholders to offboard departing employees from systems, revoke access privileges, and update records accordingly.
- Keeping HR Manager and other necessary personnel up to date with employees leaving the company.
3. Compliance and Documentation:
- Maintain accurate and up-to-date records related to onboarding and termination activities, ensuring compliance with internal policies and procedures and regulatory requirements.
- Uploading employee documents into ADP or other required destinations.
4. Administrative/Other Duties:
- Assisting with shredding, faxing, filing, scanning, and copying files as related to HR documentation and organization.
- Maintaining up to date employee records in ADP, Lead Perfection, and any other relevant software.
- Assist with employee communication initiatives, such as distributing company policies and announcements, when needed.
- Adding and removing employee anniversaries and birthdays from calendar as new employees join and leave the company.
This is a PART TIME position (25 hrs/week)
$20/hour
