Summary:
The Front Desk Assistant provides our clients with outstanding customer service and support. Responsibilities include greeting clients, helping them navigate through the office, and maintaining our appointment calendar. The ideal candidate has a talent for multi-tasking, with excellent communication and organizational skills.
Duties and Responsibilities:
- Provides excellent service for clients and staff at all times.
- Greets clients, helps them navigate through the office.
- Answers client questions and incoming calls. Takes messages and communicates to staff as needed.
- Contacts clients via phone regarding appointments and other information as needed.
- Maintains confidentiality and security of client and staff information according to policies.
- Notifies therapists of client arrival.
- Assists therapists with copies or other requests as needed.
- Ensures the Front Desk is neat, presentable, and equipped with all the necessary supplies.
- Maintains client wait list and fills openings as needed.
- Assists with filing, faxing, and completing reports as needed.
- Attends and participates in staff meetings as needed.
- Performs other tasks as assigned by the Owner or HR Manager.
Minimum Job Requirements:
- Excellent customer service and communication skills.
- Ability to project friendly, outgoing personality in person and on the phone.
- Demonstrated ability to meet goals and follow through on commitments.
- Excellent sense of organization, attention to detail, and able to handle multiple demands.
- Self-motivated to complete tasks as needed.
- Familiarity with Microsoft Word, Excel, and Google Docs.
- Available to work a minimum of 24 hours per week.
- Ability to work a flexible schedule to meet the needs of the business.
- Regular, predictable attendance.
Physical Requirements:
- Ability to work in a fast and slow-paced environment.
- Ability to sit for long periods, up to 8 hours.
- Ability to look at a computer for long periods, up to 8 hours.
- Ability to write notes, emails, and items of a similar nature on a computer, touch screen, or by hand.
- Ability to use fine motor skills and read small print.
