Position Overview: Provide office management, administrative and analytical support to the President/CEO in the Palm Beach office, while partnering with NY based Executive Admin.
Location: Florida (Palm Beach)- Hybrid
Responsibilities/Essential Functions:
- Maintain office condition, order all office supplies, and arrange necessary maintenance/repairs as needed.
- Receive and sort mail, deliveries, and couriers.
- Manage and organize POS closet and supplies—work with marketing and education managers to keep stocked and up to date.
- Ability to learn and utilize Company Reporting systems in order to run reports and populate trackers.
- Working within our internal systems to run reports and respond to inquiries.
- Pull, analyze data and dissect data to create a story with the data.
- Provide support to the President/CEO on various administrative tasks such as scheduling, confirming, as well as meeting logistics (e.g. catering, location, handouts, etc.).
- Support marketing initiatives by creating communications and necessary documentation
- Perform administrative work responsibly and in a timely manner, exercising considerable independence and sound judgment in decision-making.
- Manage multiple special projects including client meetings and dinners, off-site executive meetings, event planning for trade shows/exhibitions, and meetings with outside business partners and clients.
- Create, edit and polish documents including meeting agendas and meeting notes demonstrating proficiency in Microsoft Office.
- Handle highly confidential and sensitive information with the appropriate discretion.
- Coordinate with other assistants serving as team leader and back up when needed.
Qualifications/Requirements:
- Bachelor’s Degree preferred.
- 5 years of experience in C-level administrative and analytical support required
- Must have high level Excel and analytical skills
- Knowledge of business or market analytic systems like Cognos, Diver, Microstrategies, VIP, AC Nielsen
- Strong communication, both written and verbal
- Superior organizational skills, detail oriented, must be able to manage multiple priorities and meet deadlines
- Ability to work independently and in a dynamic, high energy, team-oriented atmosphere.
- Demonstrates initiative, flexibility, teamwork, maturity under pressure, and anticipates and resolves problems
- High level of proficiency with Microsoft office
- Foreign language skills a plus
- Wine knowledge a plus
- 15% Traveling.
