About the Role
Finfare is seeking a highly motivated Executive Assistant to lead the charge in the headquarters office located in Irvine, CA. As a key member of the organization, the Executive Assistant serves as a primary point of contact for internal and external stakeholders, manages executive calendars, coordinates meetings, handles correspondence, and assists with various administrative tasks to ensure the smooth operation of the executive's office This person will be primarily supporting the CEO with his day-to-day operations and be our CEO's right hand supporting person. The Executive Assistant will work closely with our CEO, and will serve as the primary point of contact for the CEO's business activities.
Responsibilities
- Manage and prioritize the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate with internal and external parties to schedule meetings, conference calls, and events.
- Assist in the CEO in the recruitment process by scheduling interviews, coordinating with candidates, and maintaining the relationship between our recruiting agency partners.
- Act as a liaison between the CEO, employees, and management, fostering a positive and collaborative and engaging work environment.
- Draft and proofread emails, letters, reports, and other documents as needed.
- Provide administrative support to the executive team, including filing, copying, scanning, and faxing documents.
- Ensure timely and accurate dissemination of information to appropriate stakeholders.
- Prepare travel documents, visas, and expense reports in accordance with company policies.
- Collaborate with other administrative staff to streamline processes and improve office efficiency.
- Provide high-level cross-collaborative administrative support to various departments as needed.
- Serve as a liaison between the CEO, employees, management, and US-based office for office and scheduling coordination between international office locations.
- Plan and execute company and vendor event planning for employees, business partners, and external parties.
- Handle incoming calls, emails, and correspondence, responding on behalf of the executive when necessary.
- Other duties as assigned.
Qualifications and Requirements
- Minimum of 5-8+ years of working as a high level c-suite Executive Assistant.
- MBA or postgraduate degree preferred.
- Prior fintech experience or a partner bank experience is highly desirable.
- Must be open to occasional travel and working on-site 5 days a week.
- Must have prior office coordination experience, office administration/operations, and management experience.
- This role requires exceptional organizational skills, discretion, business-savviness, professionalism, integrity, and the ability to handle sensitive information with confidentiality.
- Strong problem-solving and analytical abilities, with the capacity to understand complex concepts and provide innovative solutions to challenges.
Compensation
The compensation for this position is $130,000 - $180,000+ (depending on experience).
