Job Summary:
The Executive Assistant to the COO plays a critical role in the efficiency and effectiveness of our operations. This position requires a highly motivated, detail-oriented, and discreet professional capable of managing multiple tasks in a fast-paced environment. The ideal candidate will have a proven track record of providing comprehensive support to senior-level executives, with a keen ability to navigate complex schedules, manage communications, and facilitate smooth operational flows.
Key Responsibilities:
- Act as the primary point of contact between the COO and internal/external clients
- Manage and coordinate the COO's calendar, including scheduling meetings, appointments, and travel arrangements
- Prepare and edit correspondence, communications, presentations, and other documents on behalf of the COO
- Manage and prioritize incoming calls, emails, and mail, ensuring that high-priority communications are addressed promptly
- Organize and prepare for meetings, including gathering documents, coordinating logistics, and taking minutes as needed
- Coordinate and oversee special projects, ensuring deadlines are met and goals are achieved
- Maintain a high level of confidentiality in all interactions and communications
- Facilitate efficient communication and information flow within the office of the COO, ensuring that the COO is well-informed of upcoming commitments and responsibilities
- Collaborate with other staff members to ensure seamless support and coverage
Qualifications:
- Bachelor’s degree in Business Administration, Communication, or a related field
- A minimum of 3 years of experience as an Executive Assistant, preferably in the healthcare, medical billing, or related field
- Knowledge of KPI's
- Exceptional organizational and time-management skills
- Excellent verbal and written communication abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with virtual meeting platforms (Zoom, Microsoft Teams)
- Ability to work under pressure and meet tight deadlines
- High level of discretion and professionalism
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners
- Experience in handling a wide range of administrative and executive support-related tasks independently with little or no supervision
