Summary of Essential Job Duties:
Responsibilities:
Manage complex calendar for Vice President & Chief Pharmacy Officer
Scheduling meetings for Vice President and Chief Pharmacy Officer
- management of calendars and support for 2 Executive Directors
Ensure pharmacy site licenses and necessary documents are maintained, current and readily accessible
Schedule meetings with a variety of individuals within and outside the organization including pharmacy, medical and nursing staff, executive mgmt. and pharmacy leaders, confirm details with all meeting participants.
Process expense reports and internal documents
Prepare agenda, minutes and materials for pharmacy and interdisciplinary meetings
Support development presentation materials and documents using MS Office Suite
Collect, compile and analyze data and information.
o Develop reports for the CPO to support department and organizational needs.
Ensure manager files are current and meet regulatory requirements
Ensures confidentiality and controls access to sensitive information.
Respond to department-relevant questions from internal and external contacts.
Act as administrative liaison for Chief Pharmacy Officer within and external to organization.
Responsible for maintaining standards of professional ethical practice in accordance with the regulatory agencies.
Collaborate with other assistants to support dept and staff needs
Manage additional projects as needed.
Qualifications:
Bachelor's degree.
3 years experience in a healthcare environment.
3+ years of experience supporting a senior level executive.
Ability to manage workload in a very busy professional environment.
Strong writing skills and advanced proficiency with MS Office Suite including Word, Powerpoint and Excel.
Excellent oral communication, customer service and team skills
Able to solve problems independently and anticipate executive needs.
Multi-tasks with accuracy and attention to detail.
Displays a high level of initiative and strong follow through.
Eagerly takes on responsibilities with a sense of personal ownership and integrity.
