Montecito Bank & Trust is seeking a full-time Executive Assistant to join the team in our Executive Office. The Executive Assistant will deliver a World Class Experience by performing advanced administrative support functions for the Executive Suite. This position will independently manage multiple projects and assignments that often involve highly confidential information. Be the liaison for Executive Management with internal and external customers by managing executive calendars and scheduling and preparing correspondence for meetings and appointments. Assist in organizing meetings, preparing materials, and uploading documents to Governance Software. Rely on experience and judgment to plan and accomplish goals.
Minimum Requirements, Activities, & Responsibilities
Education and Experience:
- A high school degree or equivalent required; college degree preferred
- 5-8 years administrative experience, or similar experience, required
- Previous C-Suite experience preferred
Essential Functions:
- Provide direct support to Executive Management
- Provide direct support to Corporate Secretary
- Support Senior Management as needed
- Diligent (board and management governance software) administration
- Handle special and confidential projects
- Coordinate various calendars, meeting scheduling, and webinars
- Prepare correspondence, memos, and reports
- Manage phones and direct inquiries from associates and customers
- Provide customer support and conflict resolution
- Daily office administration tasks
- Support Enterprise Projects as needed
- Other duties as assigned
Skills and Capabilities:
- Ability to handle confidential information with a high degree of sensitivity and discretion.
- Must be flexible and willing to work in an interactive and dynamic team environment
- Strong critical thinking, decision-making, and customer service skills
- Strong knowledge of standard computer applications including MS Word, Excel, and Outlook
- Strong organizational, problem-solving, and time management skills
- Ability to lead by example in a team setting and work independently while performing duties
- Must be able to perform this position safely, without endangering the health or safety to himself or herself or others
- Must be capable of regular, reliable, and timely attendance
- Must be able to effectively handle multiple, simultaneous, and changing priorities
- Must be able to demonstrate highest levels of customer service and confidentiality with internal and external customers
