GENERAL PURPOSE
The Executive Assistant position performs a variety of complex administrative and technical work in managing the processes of the Growth Management Department. Entry-level knowledge of the urban planning and land development field is beneficial. The position involves professional level duties and judgement.
SUPERVISION RECEIVED
Works under the general supervision of the Growth Management Director or Designee. Exercises discretion and independent judgement with respect to matters of significance.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Intakes site plan applications by accepting the application, checking for completeness, calculating fees, and routing permits, plans & other department information to appropriate review staff; assists in monitoring application progress for status reports; reviews and approved site plans associated with building permit applications; assists in issuing simple routine permits within scope of authority and responsibility assigned.
Assists in the evaluation of rezoning, ordinance amendments, site plans, special use permits, variances and other proposals.
Maintains electronic files and tracking systems and reports, hard copy files, and records.
Researches and compiles information on a variety of planning issues from multiple sources.
Prepares reports, charts, and tables of limited complexity.
Attends public meetings, assisting other planning staff as appropriate.
Assists in coordinating the permitting process to include site development with building official, inspectors, planners, engineers, fire inspectors and other agency staff.
Assists with agendas, packet preparation, advertising, public notices, meetings, and records of department boards.
PERIPHERAL DUTIES
Assists Growth Management Director, Deputy Director, and Senior Planner as needed for planning related projects and activities.

QualificationsEducation and Experience:
(A) Graduation from a standard senior high school or GED equivalent, supplemented by two (2) years of post-secondary school.
(B) Four (4) years of experience in general office procedures, or a related fields, or
(C) Any equivalent combination of education and experience.
Necessary knowledge, Skills and Abilities:
(A) Knowledge of manual and computerized record keeping systems;
(B) Skilled in the operation tools and equipment.
(C) Ability to establish effective working relationships with contractors, developers, architects, engineers, owners, and the general public; Ability to communicate effectively orally and in writing; Ability to work under stressful conditions and with frequent interruptions.
