Job description

Emergency Medicine is comprised of a group of physicians, advanced practice providers, and researchers dedicated to promoting the development of oncologic Emergency Medicine as a distinct discipline. The department's mission focuses on the discovery and application of time-critical diagnostics, decision-making and treatments that save lives, reduction of patient disability and restoration of health among persons with cancer.
Administrative Operations / Time Management: Provides supports directly for the Chair and Department leadership (e.g. Chair, Medical Directors, Administrator); Ability to develop and determine priorities as well as monitors status of special projects, ensuring that leadership is kept apprised of timelines and delays; Assists the department in recruiting; Organize complex calendars ensuring that department priorities are supported timely for Department; Assist with correspondence and coordinates the workflow of faculty requests, including issues requiring the attention of Department leadership. As needed, will provide support in the processes that support recruitment, promotion, appointment, tenure, credentialing, and annual performance evaluations; Maintains and updates CVs and biosketches in MDA's system database; Ensures physician's DEA, Texas medical license, and ACLS licenses remain in active status; Responsible for all activities to ensure that monthly faculty meeting is prepared and scheduled.
Meeting Coordination, Correspondence and Report Production Coordinates meetings as needed; Creates and distributes the agenda and meeting invitations; Compiles and reports meeting minutes; Drafts letters, reports, articles, memorandums, presentations, and as needed; Maintains PRS professional development accounts;. Maintains office records and manuals as directed; May assist in the preparation of manuscripts, grants, protocols, and materials for formal or informational presentations; Composes complex confidential correspondence for Department leadership; Prepares slides for presentation using Power Point; Produces reports as requested; Completes routine institutional forms as needed.
Travel Management Arranges all travel preparations, scheduling airline reservations and hotel accommodations; Ensures that all reservations are made in time for early registrations; Ensures all expenditures are processed according to institutional guidelines and reimbursement is completed timely; Submits extramural leave requests and maintains extramural leave attendance spreadsheets for faculty.
Time KeepingAbility to oversee timekeeping responsibilities for the department on a weekly basis; Support any corrections on a as needed basis; Provide support to moonlighting vouchers; Assist with ensuring clinical calendars for faculty are on faculty calendars as well as supporting institutional on call system for the department.
Financial functions Follows financial control systems and tracks expense activity for faculty including reconciliation, maintaining accurate up-to-date financial information from the GL system and reconciling to PRS reports, communicating to faculty members on a regular basis current free balances as well as forecasted expenses; Become familiar with purchasing process to support requisitions and purchase orders for faculty and department operations.
EDUCATION: High school diploma or equivalent.
EXPERIENCE: Six years of administrative/secretarial experience supporting a leadership/executive level position. With preferred degree, two years of required experience.
