Job Title: Executive Assistant
RESPONSIBILITIES:
- Provides high level administrative support by conducting research, preparing reports, handing information requests.
- Makes good judgment calls and discerns urgent matters from those that can wait while executive is away.
- Maintains personal calendars. Organizes and schedules meetings and conference calls. Makes travel arrangements.
- Performs administrative support functions. Drafts and processes correspondence. Creates spreadsheets, charts, tables, presentations, reports, etc.
- Answers and screens telephone calls.
- Assists with internal and international expense reports.
- Tracks and assists with contract generation & termination.
- Point of contact for new employee onboarding processes.
- Liaison with department and HR, IT, and Facilities departments.
- Coordinate SharePoint for Pork business unit and departments within.
- Coordinates customer visits and events.
- Assists with special projects as assigned.
- Represents executive while he/she is out of office at administration level.
QUALIFICATIONS:
- BS/BA degree preferred in Business Administration. Minimum 3 years or more previous experience as an EXECUTIVE ASSISTANT in a dynamic environment.
- Must be skilled in MS Office with emphasis on PowerPoint, Excel, Word, Outlook
- Must be medium to advanced level with SharePoint in order to manage the Pork Portal home page and departments within with emphasis on Boxed Sales, Marketing and Pricing
- Must be an expert with scheduling travel, maintaining multiple personal calendar
- Detail oriented with strong organizational skills a must with the ability to work well in a fast paced environment and judgment to prioritize word load.
- Excellent verbal and written communication skills with all levels of the organization from Head of Department and above, and the organization on down.
- Excellent phone and strong presentation skills.
- Ability to handle and coordinate multiple projects at the same time.
- Ability to work independently with minimal supervision. Know when and how to ask questions
