Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to join our team. As an Executive Assistant, you provide high-level to the County Clerk and Senior Staff. This role ensures the smooth functioning of the office and performs in a wide variety of specialized office management and administrative assignments. This position serves as a primary point of contact and resource for information regarding County Clerk programs, functions, and policies.
Duties:
- Act as the point of contact between the elected official and internal/external clients.
- Maintain and coordinate calendars, arrange meetings, and schedule appointments.
- Receive visitors and telephone calls, provide comprehensive information, and direct to the appropriate contacts.
- Conduct research and gather information for various projects.
- Assist with project coordination, ensure effective tracking and follow-up on action items.
- Coordinate travel arrangements and prepare itineraries.
- Assist with event planning and logistics.
- Prepare and edit correspondence, reports, and presentations.
- Transcribe meeting minutes, maintain accurate records, and utilize software for document management.
- As assigned, participate in various committees and boards.
- Establish and maintain effective relationships with employees, elected officials, and the public.
- Provide excellent customer service to internal and external stakeholders.
Requirements:
- Proven experience as an Executive Assistant or similar role.
- Proficient in computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint) and office management systems.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Ability to monitor office expenditures and stay within budget.
- Ability to handle confidential information with discretion.
- Exceptional attention to detail and accuracy.
- Ability to work independently with minimal supervision.
- Strong problem-solving skills and ability to adapt to changing priorities.
- Understanding of local government operations, rules of procedure, and roles of different officials is desired.
