Summary/Objective
The Client Services Coordinator is a pivotal role that supports the Vice President of Client
Services by managing a variety of administrative and project-related tasks to ensure smooth
department operations and effective client service delivery. The Coordinator will provide
organizational support, streamline communication, and facilitate project management to
enhance the efficacy of client services.

Compensation: $45,000-$55,000
Essential Functions

• Administrative Support:
o Manage and prioritize incoming and outgoing communications for the VP, ensuring
critical items are escalated.
o Maintain and organize the VP’s calendar, coordinating appointments, meetings, and
events.
o Handle travel arrangements, including flight reservations, accommodations, and
itinerary planning.
• Project Coordination:
o Assist in organizing and tracking deliverables and timelines for client-related projects.
o Provide administrative support to ensure projects are progressing as planned.
o Facilitate meetings, including preparing materials, taking minutes, and tracking action
items.
• Communication and Liaison:
o Serve as the primary point of contact for internal teams and external partners,
relaying critical information from the VP.
o Disseminate updates and key messages from the VP to relevant teams and
departments.
• Documentation and Reporting:
o Prepare, proofread, and edit documents, reports, and presentations for clarity and
professionalism.
o Organize and maintain electronic and paper files for easy access to important
documents.
• Research and Data Analysis:
o Conduct research on client cases, industry trends, or as required by the VP.
o Collect and analyze data to support decision-making and report findings to the VP
and stakeholders.
• Process Improvement:
o Regularly review and recommend improvements to IT processes to increase
efficiency.
o Create and maintain documentation related to IT processes and best practices.
• Event and Special Projects:
o Assist in planning and organizing departmental events or team-building activities.
o Undertake or assist with special projects as directed by the VP.
• Daily Operations:
o Provide a daily briefing on scheduled activities and important information.
o Support the VP with task management and reminders of daily tasks, deadlines, and
follow-ups.
- Occasional travel for this position.
Required Education and Experience
- Advanced verbal and written communication skills. Ability to communicate with C-Level
- At least one year of experience in a project coordination or administrative role.
- Proficiency in MS Office and familiarity with task management tools.
Preferred:
- Degree or certifications in Project Management, Business Analyst, or Admin Assistant areas
- Experience in a Project Coordination, or Personal/Administrative Assistant environment.
