With a commitment to delivering excellence and fostering a collaborative work environment, we are seeking a dedicated Executive Assistant to serve as the right hand to the President and Vice President, supporting them in managing projects, HR duties, and overall executive operations.
Job Description: As the Executive Assistant at MD Smith Construction, you will play a pivotal role in providing comprehensive support to the President and Vice President, contributing to the success of our projects, HR tasks, and executive operations. The ideal candidate will be a proactive and detail-oriented professional with a background in construction and the ability to be the right hand to the leadership team.
Responsibilities:
- Project Coordination: Assist in coordinating activities related to projects, including documentation, meetings, and communication with project teams.
- HR Support: Collaborate with the HR department to assist in various tasks such as recruitment, onboarding, and employee relations.
- Calendar Management: Efficiently manage the calendars of the President and Vice President, coordinating project milestones, HR-related activities, and deadlines.
- Travel Coordination: Arrange and coordinate travel plans, site visits, and accommodations for the executive team.
- Communication: Serve as a primary liaison between the President, Vice President, project managers, HR, and other employees, ensuring seamless information flow.
- Document Preparation: Prepare and edit project-related documents, HR-related materials, presentations, and reports for executive review.
- Meeting Support: Attend project and HR-related meetings, take minutes, and follow up on action items to facilitate project and HR progress.
- Confidentiality: Handle sensitive project and HR information with discretion and maintain a high level of confidentiality.
Qualifications:
- Proven experience as an Executive Assistant, preferably with exposure to the construction industry.
- HR experience or a willingness to assist with HR duties when necessary.
- Excellent organizational and multitasking abilities, with a keen attention to project details.
- Strong written and verbal communication skills.
- Proficient in MS Office Suite, project management software, and HR tools.
- Discretion and confidentiality are essential.
Education and Experience:
- Bachelor's degree preferred.
- Minimum of 10 years of relevant experience in construction, renovation, or a related field.

Pay: $18.00 - $30.00 per hour
Expected hours: 40 per week
