The Doctors Company Patient Safety team is seeking a dynamic and highly organized Executive Assistant with strong technical skills and proven experience with business intelligence (BI) to join our team.
Qualifications
- Bachelor’s degree preferred
- Strong proficiency in business intelligence tools.
- Experience with project management tools and methodologies is strongly preferred.
- At least three years in a support or business support role.
- Insurance Industry experience is a plus
- Highly-developed interpersonal skills including communication and listening skills, attitude, exhibiting a professional, energetic, proactive and enthusiastic demeanor
- Excellent verbal and written skills and attention to detail
- Ability to handle multiple priorities and manage complicated calendars across multiple executives and external personnel
- Demonstrate excellent judgment and influence management skills
- Proactive approach to business needs and requirements
- Ability to work independently and be flexible, adjusting priorities and tasks in real time to support the objectives of the departments
Salary Range: $62,252 - $76,900
Responsibilities
General Administrative Support
- Manages the executive schedule and keeps abreast of upcoming events and matters requiring timely action.
- Schedules appointments and proactively monitors availability of supported executives.
- Proactively provide pre/post meeting support.
- Organizes and maintains office and electronic files.
- Responsible for supply and stationery orders and coordination of distribution to executive team.
- Maintains email distribution lists for email groups.
- Prepares expense reports as assigned.
- Assists in coordinating / scheduling department events.
- Attends meetings as requested. Records and produces meeting minutes.
- Provides Executive(s) with useful information needed before attending conferences and seminars.
- Assures appropriate materials are received and distributed.
- Maintains availability and organization of key documents, presentations, and materials related to executive activities for dissemination as appropriate and/or advised.
Customer Service, Situational Awareness and Advisement
- Provides superior customer services, as the initial point of contact for the supporting executive.
- Serves as a conduit between executive internal/external stakes demonstrating professionalism, confidentiality, and tact.
- Maintains comprehensive knowledge of policies, practices, critical initiatives, and other items impacting executives.
- Proactively anticipates the executive's needs through analysis of schedule, key projects, and upcoming events
TDC Technology Advisement and Support
- Utilize business intelligence tools and software to gather, analyze, and present data insights to support strategic decision making.
- Create and maintain executive reports, presentations, and dashboards to communicate key performance indicators and trends effectively.
- Stay updated on industry trends and best practices in business intelligence and technology to recommend innovative solutions.
- Develop thorough understanding of the TDC Systems to provide support to Executive(s) (SuccessFactors, Jive, Outlook, Concur, etc.)
- Develops and maintains Executive TDC Connect pages and maintains information to ensure final displayed result meets desired requirements.
- Prepares and edits presentations, correspondence, documents, organizational charts, and other data using various resources and software applications.
Process Improvement
- Identifies and recommends system/process improvements and innovations that may result in more efficient and effective work processes.
- Provides manager with insight into the day-to-day processes issues and/or opportunities for enhancements.
- Proactively makes suggestions to improve process workflow or enhance customer satisfaction.
Other Duties as Assigned
- Assists with a variety of department and company-wide projects.
- Makes oneself available for any and all duties.
- Accepts delegated tasks readily and completes assigned duties as direct.
- Other general administrative duties as requested.
