Summary
The Executive Administrative Manager provides crucial administrative and operational support to the General Manager, and other casino executives as required. In addition to typing, filing, and scheduling, this position performs duties such as financial record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Answers non-routine correspondence and assembles highly confidential and sensitive information. Interacts with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload. Recommends changes in executive office practices and/or procedures.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Directs preparation of records such as notices, minutes and resolutions for monthly Casino Board meetings and weekly Senior Management meetings.
- Keeps official casino records and executes administrative policies determined by or in conjunction with other officials
- Manages complex and detailed calendars, schedules appointments, gives information to callers, takes dictation, composes, and types correspondence, and performs other administrative and clerical duties.
- Answers incoming calls for the General Manager and determine the level of priority, while using caution in dispensing information. Takes messages or fields/answers all routine and non-routine questions.
- Schedules and organizes activities such as meetings, travel, itineraries, conferences and department activities.
- Acts as a liaison with other departments and outside agencies, including high-level staff. Handles confidential and non-routine information and explains policies when necessary.
- Assists and communicates with executives in decision-making, project management, and initiative implementation.
- Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- Improves current processes and optimizes organizational procedures for efficiency and productivity.
- Monthly coding of COO credit card statements.
- Prepares expense reports and check requests.
- Places office supply orders for Executive Board and other departments as needed.
- Prepares and distributes confidential monthly Financials.
- Prepares and distributes confidential monthly Board Books.
- Maintains Finance Conference Room and Executive Board Room calendars.
- Coordinates and orders special purchases (ex: flowers, gifts, etc.)

Qualifications

Education and/or Experience
Four-years related experience and/or training; or equivalent combination of education and experience. Must have previous experience preparing and distributing detailed meeting minutes. Must be extremely organized and detail oriented. Must maintain a strict level of confidentiality.
Age Requirements
Must be at least 21 years of age
Computer Skills
Must have strong knowledge of MS Outlook, MS Word, MS Teams and basic knowledge of MS Excel. Must have strong phone skills.
Language Skills
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
