Position Summary
Annexon is looking for a highly motivated Sr Administrative Assistant to help support our growing team. We’re a small group but growing fast and need someone who is willing and able to jump in wherever needed.
Responsibilities
- Proactively manage and maintain executives' calendars identifying and resolving scheduling conflicts as they arise
- Scheduling/coordinating internal and external meetings/conference calls across multiple time zones
- Handle materials of a confidential nature with discretion and professionalism
- Interaction w/ KOLs and high-level external executives
- Book domestic and foreign travel for executives and assist with expense reports
- Coordinate conference registrations/travel
- Assist w/ Visa applications for international travel
- Schedule and facilitate candidate interviews including travel coordination when needed
- Assist with meeting setup/break down
- Facilitate lunch meetings and catering requests
- Assist with Facilities & IT related issues
- Special projects and provide back-up to EA as needed
- Strong commitment to confidentiality and accustomed to handling sensitive documents and information
Skills & Requirements:
- 8-10 years’ experience in an administrative support role with at least 4-5 years supporting senior level staff members/C-Suite members
- Prior experience in life sciences sector is highly preferred, not required
- Proficiency in MS Office, Outlook Calendar required
- Detail oriented, reliable and motivated
- Exceptional communication and organization skills
- Experience working at a start-up and/or in a fast-paced office environment strongly desired
- Self-starter able to function at a high level with general instruction
- Team-oriented, can-do attitude and desire to be productive contributor to the team (no job too big or too small)
- Proactivity and willingness to jump in when needed is essential
Education:
- BA/BS Diploma or equivalent (required)
