Position: Executive Administrative Assistant Property Management
Key Responsibilities:
- Efficiently manage executive calendars, appointments, workload and meetings.
- Handle travel arrangements, accommodations, and itineraries for executives.
- Follow up on outstanding issues both internally and externally.
- Liaise with tenants and vendors as necessary
- Maintain issue trackers
- Organize, maintain and oversee meticulous filing systems both digitally and hard-filing
- Assist with office operations, ensuring a smoothly functioning and organized environment.
- Assist in basic HR functions.
- Collaborate with department heads to streamline communication and enhance cross-functional teamwork.
- Contribute to creating a professional and welcoming atmosphere for both internal teams and external partners.
- Minimum of 3 years' experience in an executive assistant or office management role, preferably within a team of 20 or more individuals.
- Proficiency in using QuickBooks beneficial.
- Basic HR experience, including onboarding and record-keeping.
- Bachelor's degree preferred, but not required.
- Exceptional organizational skills and attention to detail.
- Strong verbal and written communication abilities.
- Ability to thrive in a fast-paced and ever-changing work environment.
- Proficient in Microsoft Office Suite, SharePoint, and Teams as well as other relevant software.
