**Responsibilities:**
- **Email and Communication Management:**
- Prioritize and respond promptly to emails and other communications.
- Maintain clear and professional communication with clients, brokers, and team members.
- **Calendar and Schedule Coordination:**
- Efficiently manage executive calendars and schedule appointments and meetings.
- Coordinate with internal and external stakeholders to ensure timely scheduling.
- **Meeting Preparation and Documentation:**
- Prepare meeting agendas, documents, and presentations.
- Take minutes during meetings and follow up on action items.
- **Client Liaison and Support:**
- Act as a point of contact for clients, addressing inquiries and providing exceptional service.
- Follow up on sales leads, inquiries, and after-sales service requests.
- **Market Research and Listing Management:**
- Stay updated on yacht listings, market trends, and industry news.
- Maintain accurate records of listings and assist in updating marketing materials.
- **Social Media and Marketing Support:**
- Assist in managing the brokerage's social media presence and online marketing efforts.
- Coordinate with the marketing team to ensure accurate and appealing listings.
- **Administrative Tasks:**
- Handle administrative duties such as filing, data entry, and expense report preparation.
- Assist in maintaining organized digital and physical records.
- **Team Coordination and Assistance:**
- Collaborate with sales and support teams to provide administrative support as needed.
- Coordinate team meetings and assist in resolving logistical issues.
**Qualifications:**
- Proven experience as an executive assistant, preferably in real estate or luxury industries.
- Excellent communication skills, both written and verbal.
- Strong organizational and time-management abilities, with keen attention to detail.
- Proficiency in office software and productivity tools, including Excel and Canva.
- Extensive experience writing AI prompts and leveraging AI technologies to enhance efficiency and productivity.
- Ability to work independently and adapt to changing priorities.
- Familiarity with CRM systems, particularly HubSpot, is advantageous.
- Experience working remotely or managing remote teams is a plus.
