Position Type: Full-time, Non-civil service, Non-union Work Hours: 8:30 – 5:00 Salary Range: Starting salary of $49,330 Basic FunctionThe PA Office of Attorney General (OAG) is looking for a detail-oriented administrative professional to join our dynamic team in Allegheny County. The Executive Administrative Assistant coordinates and supports the Gun Violence Task Force Allegheny County (GVTF-AC). The Gun Violence Task Force Allegheny County investigates and prosecutes the straw purchase of firearms, firearms trafficking, the movement of illegal guns, and violent gun crimes. The task force, comprised of experienced investigators, analysts, attorneys, and administrative staff, is a countywide joint task force that collaborates with the Pittsburgh Police Department, Allegheny County Police, other municipal police agencies within the county, the Allegheny County District Attorney’s Office, federal partners, and the OAG’s statewide Gun Violence Section. Work performed by this position is of moderate complexity and scope and includes administrative support for the Gun Violence Task Force. Assignments require detailed knowledge of the functions, procedures, and organization of the GVTF and may require familiarity with technical terminology and principles. This position also entails a variety of paralegal and staff support work related to the processing of the many legal documents required through all stages of a criminal case such as logging in new cases, obtaining discovery from law enforcement, organizing and redacting documentary evidence, tracking statistics related to cases handled by the section, preparing cases for trial, and closing case files once investigations and/or prosecutions have concluded. Completed work and performance are reviewed by supervisory staff within the GVTF for soundness of reasoning, effectiveness, and conformance with established policies and objectives.
EXAMPLE OF DUTIES
Assists the agents, attorneys, and Chief Deputy Attorney General (CDAG) of the GVTF-AC in the management of gun violence operationsAssists in studies and analysis of administrative operations and problems, including detailed and comprehensive reports of findings and recommendationsMaintains physical and electronic case files and maintains cases in the MCIS case management systemCoordinates with the Deputy Attorneys General (DAGs) to compile, redact, index, and transmit discovery packages, which may involve coordination with the Litigation Support SectionObtains case documents from OAG agents, local law enforcement, criminalistics laboratories, federal agencies, and Allegheny County and other court systemsSchedules when specific documents are to be passed to the defenseTranscribes audio or video interviews as neededCreates criminal history reports on specific targets/defendantsSchedules, prepares agendas, and makes arrangements for hearings or meetingsAssists with budget estimates and other fiscal and statistical reports, and monitors budget expendituresEnsures adherence to administrative standards through the maintenance of control systemsCollects, interprets, analyzes, and summarizes information to be used as a basis for executive actionMaintains the schedule for OAG cases, notifying DAGs of significant developmentsUpdates DAG Prosecution and GVTF Investigative Case Tracking spreadsheetsPerforms travel coordinator functions for all GVTF-AC personnelProcesses monthly invoices from the District Attorney’s Office and other police agenciesMaintains confidential informant filesEnters expenses in the Case Expense Tracking systemAssists with reporting on monthly statisticsPerforms related work as required
