Scope of Responsibility:
The Executive Assistant to the CEO is a critical role providing high-level administrative support to the Chief Executive Officer. This position requires exceptional organizational skills, attention to detail, discretion, and the ability to manage multiple tasks efficiently. The Executive Assistant will serve as a primary point of contact for internal and external stakeholders, manage the CEO's schedule, coordinate meetings, handle confidential information, and perform various administrative duties to ensure the CEO's effectiveness and productivity.
Essential Duties:
- Coordinate and manage the CEO's schedule, including appointments, meetings, and travel arrangements.
- Prioritize conflicting demands and proactively manage adjustments to the CEO's calendar as necessary.
- Ensure the CEO is briefed and prepared for all scheduled engagements.
- Serve as the primary point of contact for internal and external communications on behalf of the CEO.
- Screen and prioritize incoming communications, including emails, phone calls, and mail.
- Draft, proofread, and edit correspondence, presentations, and reports as needed.
- Organize and schedule meetings, conferences, and special events involving the CEO.
- Prepare agendas, presentations, and materials for meetings, ensuring all participants are informed and well-prepared.
- Record minutes and action items from meetings and follow up on outstanding tasks as directed.
- Manage and maintain confidential information with discretion and professionalism.
- Maintain electronic and physical filing systems, ensuring documents are organized and accessible.
- Conduct research, gather data, and prepare reports as requested by the CEO.
- Arrange domestic and international travel accommodations for the CEO, including flights, accommodations, transportation, and itinerary planning.
- Build and maintain effective working relationships with key stakeholders, including board members, executives, clients, and partners.
- Serve as a liaison between the CEO and internal departments, providing support and facilitating communication as needed.
- Assist the CEO with special projects, initiatives, and strategic priorities as assigned.
- Undertake ad-hoc tasks and assignments to support the CEO and contribute to the overall success of the organization.
- Other duties as needed.
Position Requirements:
- Proven experience as an Executive Assistant
- Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in fast paced environment.
- Proficiency in Microsoft Office Suite and other relevant software
- Ability to exercise sound judgment and handle sensitive information with confidentiality and integrity.
- Strong written and verbal communication skills.
- Flexibility and adaptability to changing priorities and demands.
- Positive attitude, proactive approach, and willingness to take initiative.
Physical Requirements:
- Demonstrate ability to work with frequent interruptions in workflow and constantly changing priorities.
- Must be able to remain in a stationary position for extended periods of time with the ability to move throughout the office.
- Must be able to perform physical activities that require substantial use of fingers, hands, wrists, and arms, such as sitting, typing, picking, pinching, using office equipment and reaching. Some additional physical activities may require walking, stooping, bending, twisting, and handling of materials.
- Position requires manual dexterity, arm-hand steadiness, and a safety mindset.
- Must have the ability to concentrate on tasks for long periods of time and be able to observe and receive information from all relevant sources.
- Perceive the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication and to make the discriminations in sound.
- The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data, transcribing, viewing a computer terminal, extensive reading, and visual inspection for errors.
