Position Summary
· This contractor role will provide administrative support to the Chief Development Officer, the Chief Science Officer (CSO), and the Chief Medical Officer (CMO) during the leave of the full time Executive Assistant which will include calendar management, travel coordination and scheduling, conference registration, expense reporting, and IT request management.
· The individual will work closely with the Senior Manager, Lab Facilities in our Philadelphia research labs to help support administrative duties related to research operations including ordering, supply receipt and storage, supply inventory management, shipping of lab reagents, assisting with visitor building access and other onsite tasks as needed.
· This individual will be responsible for providing general administrative support for all teams under the CDO, CSO and CMO to include scheduling, management of distribution lists, management of all conference/room reservations in coordination with IT, maintenance of all software lists/licenses and support for all staff as requested.
· The individual will also act as the onsite Philadelphia office support, managing the reception desk and phones, liaising with all visiting Amicus employees and any external visitors, handling site level events, managing all mail and office supply related deliveries, as well as all storage/inventory and supplies.
Roles and Responsibilities:
· Perform executive assistant duties and maintain support for three chiefs (calendar management, travel support, expense reporting).
· Receive, sort, and distribute mail and packages to onsite employees.
· Manage office kitchen which includes an inventory of snacks, coffee and tea.
· Manage office supply inventory, printer supplies and organization.
· Work closely with custodians regarding inventory of housekeeping supplies.
· Receive and orient visiting employees, guests, and maintenance personnel.
· Assist with onsite events, lunches, and meetings.
· Assist with lab supply inventory management.
· Fulfill specialty order requests for all members of the Science department.
· Assist with scheduling laboratory shipments through FedEx and other couriers.
· Coordinate departmental PO requests.
· Assist with laboratory maintenance scheduling and payments.
· Greet and orient laboratory technicians upon arrival.
· Assist with access badge management.

Educational Requirements
· Professional degree preferred, but not required
Professional Work Experience Requirements
· Has sufficient experience working as an Administrative Assistant in an environment supporting business critical and high volume documents and requests for a large team.
· Is flexible, highly motivated, with strong organization skills and the ability to multi task.
· Must be able to manage shifting priorities to meet critical deadlines in a fast paced and dynamic environment.
· Excellent Outlook, Teams and Online Meeting capabilities
· Proficiency with MS Office, plus expensing and travel applications
· Exposure to sensitive information will necessitate a high level of confidentiality, and a considerable use of tact, diplomacy, and quality judgment.
· Excellent judgement and experience working with senior level executives
· Participation in various work assigned meetings as requested.
