Job Overview:
We are seeking a dynamic and highly organized office & Engagement Coordinator to join our team. As a key member of our remote and dispersed workforce, you will play a crucial role in ensuring the smooth functioning of our virtual office environment while actively promoting team engagement and collaboration. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a passion for fostering a positive and productive remote work culture. We are open to this being full-time, part-time, or freelance and offer flexibility with our schedules.
Responsibilities:
- Office Management:
- Oversee and manage virtual office operations to ensure efficiency and productivity.
- Coordinate virtual meetings, handle scheduling, and manage online calendars for the team.
- Act as the main point of contact for virtual office-related queries and concerns.
- Support needs for WeWork spaces (Texas & NY, potential to add more) like inventory, billing, events etc.
- Monitor use of in-person spaces and research alternatives when needed
- Administrative Support:
- Assist with administrative tasks such as virtual document management, finance purchase orders and invoicing, recruitment scheduling and support, expense reporting, monitoring stationary inventory and placing orders, IT support.
- Support with freelancer
- Collaborate with team members to streamline administrative processes in a virtual environment.
- HR & Leadership Support
- Assistance with reporting (example: 1099NEC, 1095Cs)
- Ad hoc projects and support to P&C, Americas Management Team, and VP Americas.
- Team Engagement:
- Develop and implement strategies to enhance team engagement and collaboration in a virtual setting.
- Organize virtual team-building activities, workshops, and events to foster a positive team culture.
- Assist in organizing all hands, in-person meetups throughout the year.
- Facilitate effective communication channels to promote team connectivity and morale.
- Monitor virtual and in-person activities engagement levels, report findings, and adjust as needed
- Technology and Tools:
- Stay updated on virtual office technologies and tools to optimize remote work processes.
- Provide training and support to team members on virtual collaboration tools and platforms.
Requirements:
- Proven experience as an Office Manager or similar role, preferably in a virtual or remote setting.
- Fluency in Spanish a plus, but not required
- Excellent organizational and multitasking abilities.
- Strong communication skills and comfortable communicating over mostly virtual settings (teams/video calls etc)
- Familiarity with virtual collaboration tools (e.g., video conferencing, project management tools).
- Proactive problem-solving and decision-making skills.
- Ability to adapt to a fast-paced and dynamic virtual work environment.
- Knowledge of team engagement strategies and best practices.
Qualifications:
- Previous experience in remote work environments is a plus.
- Degree or Certification in Business, Communications, virtual office management or related areas is great, but not required
