This position is responsible for planning and executing events that promote Community Engagement, including, but not limited to groundbreakings, ribbon cuttings, press conferences, celebrations, summits, and the annual State of Osceola County. The position works with various stakeholders to ensure that events are well-organized, well-attended, and meet the needs of the community. As a project manager, the Community Engagement Coordinator will oversee all aspects of the event, including developing project plans, timelines, and budgets, as well as coordinating with vendors, volunteers, and other stakeholders. Tact and diplomacy are necessary as the employee will have considerable contact with the Board of County Commissioners, County Administration, and other entities. Work requires independent judgment and the ability to work alone and as a member of a team.

  • Produces consistent and quality experiences within Osceola County through events, activities, and initiatives.
  • Develops and manages checklists, communication plans, timelines, calendars, and budgets for events.
  • Ensures that events are executed according to plan with the ability to anticipate challenges, advise, and adapt, and ensures all stakeholders are kept informed of progress and/or any changes to the plan.
  • Coordinates with internal departments and external vendors to secure venues, catering, audio/visual, entertainment, supplies, security, etc.
  • Manages the coordination of all event materials and presentations, including event collateral, marketing materials, and strategic communications.
  • Promotes events through various types of internal and external channels such as websites, community calendars, social media, digital signage, and media.
  • Ensures post-event follow-through via post-event evaluations, financial reports, detailed event summaries, archiving of photos and videos, and thank you notes.
  • Supports the promotion of Osceola County events led by the Osceola County Board of County Commissioners.
  • Supports requests for internal and external meetings held within the Board Chambers or other County facilities, as appropriate.
  • Ensures compliance with insurance requirements, legal, health, and safety rules and regulations.
  • Performs duties as assigned/necessary which are related, or logical assignment to the position.
  • Emergency Management Responsibilities: During emergency conditions, all County employees are automatically considered emergency service workers. County employees are subject to being called to work in the event of a disaster, such as a hurricane, or other emergency situation and are expected to perform emergency service duties, as assigned.
  • This is a tier 2 position.
Education: Bachelor's degree in event management, hospitality management, marketing, communications, public relations, business, or closely related field.
Experience: Three (3) years' experience planning and coordinating creative, successful events. An equivalent combination of training and experience may be considered.
Miscellaneous:
  • Must possess and maintain a valid Florida Driver's License.
  • Bi-lingual proficiency in English and Spanish preferred.
  • Ability and skill to establish and maintain a professional effective working relationship with other departments and to interact with all levels of employees, elected officials, appointed officials, executive staff, and the general public.
  • Excellent project management skills and the ability to manage multiple projects simultaneously.
  • Ability to balance multiple tasks and prioritize workload.
  • Excellent critical thinking and problem-solving skills.
  • Excellent interpersonal, presentation, and communication skills.
  • Highly organized and with strong attention to detail.
  • Ability to properly implement County branding including standards and guidelines.
  • Ability to maintain an appropriate file management system.
  • Ability to effectively manage broad and diverse project workloads in a deadline-driven work environment.
  • Ability to use good judgment in quick decision-making.
  • Ability to work alone and as a member of a team.
  • Ability to work weekends and after hours as required.

PHYSICAL DEMANDS:
Physical Demand: Light
  • 20 pounds maximum lifting.
  • Lifting, and carrying up to 10 lbs.
  • If less lifting is involved it will require significant walking/standing.
  • If mostly sitting is involved it will require push/pull on arm or leg controls.
  • Expressing or exchanging ideas by spoken word or perceiving sound by ear.
  • Good eyesight for production or safety of self and others.
  • Physical agility is required in kneeling, bending, stooping, and reaching.
  • Required to have clear vision at distances of 20 inches or less.
