Position Summary:

The Project Coordinator executes on tasks in support of required project delivery items, including but not limited to creating and updating project presentations, project templates, and internal meeting notes. The Project Coordinator is responsible for direct and professional communication at various levels of an organization, including timely and appropriate escalation.

Essential Functions & Additional Responsibilities:

  • Project Meetings: Attend project meetings and record comprehensive internal meeting minutes and notes, capturing key discussions, decisions, and action items clearly outlined and provided to all parties. If requested, works with Program Managers, consultants, and clients to schedule project meetings.
  • Documentation: Create and maintain project documentation such as client presentations and meeting summaries. Update project tools, timelines, risk sheets, dashboards, etc. as requested.
  • Templates: Develop and maintain templates for project documentation, ensuring consistency and efficiency in reporting and communication processes.
  • PowerPoint Creation: Design and maintain PowerPoint presentations for project meetings, status updates, stakeholder presentations, and other communication needs. This includes creating slides, formatting content, incorporating visuals, and ensuring consistency with branding guidelines.
  • Marketing Support: Assist with marketing activities related to select lines of business, such as drafting content for promotional materials, coordinating events, or liaising with external vendors. Provide additional support to marketing team in respect to social media, website, campaigns, etc. as needed.
  • Communication: Communicate among project team members, stakeholders, and external partners as requested to ensure information flows effectively and efficiently.
  • Coordination: Coordinate logistics for project-related activities, such as meetings, workshops, and presentations.
  • Tracking Progress: Provide updates on project progress against timelines and milestones, identifying potential risks or issues and escalating to Manager of Program Services.
  • Quality Assurance: Ensure the quality and accuracy of project documentation and deliverables, adhering to organizational standards and best practices.
  • Continuous Improvement: Identify opportunities for process improvement and efficiency gains within project administration functions and implement appropriate changes.
  • Perform other duties as assigned.
Requirements:

Required Skills & Competencies:

Required Education and Experience:

  • High school diploma or equivalent required
  • 1-3 years of experience as a Project Administrator, Project Coordinator, or similar role
  • Financial Industry experience preferably in operational technology such as payments, digital, core account processing
  • Experience with project coordination and scheduling
  • Experience with Project Management applications (SmartSheet), Sales CRM platforms, Quality Measurement, and reporting
  • Proficiency with Microsoft Office suite
  • Prolonged periods of sitting at a desk and working on a computer.

Physical Requirements:

  • Must be able to lift up to 15 pounds at times.

Position Type/Expected hours of Work:

  • Full Time/ 40 hours per week

Location:

  • Remote
  • 40% or less travel required
