Salary assigned will be commensurate with experience.
Responsible for coordinating internal and external Employee Engagement opportunities and programs (70%), as well as department administrative and clerical functions (30%). Oversees employee sign-ups for volunteer opportunities in support of local nonprofits and community causes that FPUA supports. Writes, designs, and releases the FPUA quarterly newsletter Spotlight TeamUA; facilitates employee donation campaigns in connection with local nonprofits; coordinates employee appreciation events; and promotes a positive image of FPUA. Serves as PAS liaison with Human Resources Department. Independent judgement must be exercised to insure all internal and external customers are treated fairly and in a professional manner. Reports to the Director of Public Affairs and Sustainability.
Facilitates employee sign-ups for various volunteer opportunities in support of local nonprofits and community causes that FPUA supports.
Coordinates all aspects of internal events in support of local nonprofits such as the internal chili cook-off and similar programs, in conjunction with the Public Relations Specialist and volunteer committees.
Oversees the quarterly food donations program including management of collections in each building and coordinating delivery to local food pantries.
Facilitates FPUA employee donations campaigns such as Salvation Army Christmas Angels, Toys for Tots holiday donations, etc. by announcing campaigns internally and coordinating directly with outside partners to schedule collections.
Develops and releases the internal quarterly newsletter, Spotlight TeamUA, to provide companywide updates on upcoming events and volunteer opportunities, project highlights, employee spotlights, and more.
Coordinates and hosts company-wide employee appreciation events such as the holiday luncheon.
Serves as the departmental liaison with the Human Resources Department to support recruitment and related messaging and marketing through the public affairs channels. Support may include attending job fairs with HR and facilitating Intro to UA orientation program with HR.
As HR liaison, also ensures that PAS grants team is informed of FPUA participation in job fairs and ensures that any grant-specific materials are brought to job fairs as required.
Records metrics in department tracker such as date and title of events attended, number of attendees, number of volunteers recruited, pounds of food donated, and more.
Maintains and prepares, as necessary, all personnel forms, including verifying, posting and maintaining all payroll records for the department.
Maintains and processes requisitions and contracts for the department.
Processes monthly invoices and opens and monitors purchase orders for the department.
Posts required public notices in the Customer Service lobby and online.
Maintains office and customer giveaway stock supplies.
Performs other duties as assigned.
Graduation from an accredited high school or possession of an acceptable equivalency diploma. Two years of advanced administrative/clerical experience. Proficiency in the use of Microsoft Office software is essential.
Considerable knowledge of:
