Provides administrative and staffing support for the districts custodial department.
DUTIES AND RESPONSIBILITIES:
- Contacts prospective sub custodial staff to schedule and conduct interviews and completes all necessary paperwork.
- Contacts prospective permanent custodial staff to schedule and conduct interviews and completes all necessary paperwork.
- Communicates with schools to plan and secure short and long-term sub custodial coverage for known absences such as vacations and leaves.
- Coordinates with temporary staffing agencies as needed to ensure all sub-custodial needs are filled.
- Oversees and processes sub custodial timesheets and payroll and contacts appropriate personnel to verify, clarify and resolve discrepancies in data received.
- Works with Custodial Training Specialists to maintain records of custodial training.
- Processes and tracks custodial service requests and work orders.
- Compiles reports on staffing levels, service requests, and expenditures.
- Creates purchase orders and processes custodial invoices.
- Corresponds with contractors via email and or telephone.
- Answers department phone calls, routes calls to appropriate staff, and takes messages as needed.
- Schedules and organizes meetings for custodial and administrative teams.
- Attends Career Fairs as a representative for the department as needed.
- Assist Area Custodial Support Specialists to vet custodial candidates to fill open positions in schools.
- Supports the implementation of safety protocols and training programs.
- Participates in the development and improvement of administrative processes.
- Assists Director of Custodial and Warehousing with budget management and expense tracking.
- Performs related duties and other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
- Basic knowledge of standard cleaning procedures, chemicals, products, and equipment
- Basic knowledge of tools, equipment and supplies used in custodial services.
- Considerable knowledge of office systems and processes, including but not limited to proficiency in Microsoft Office products such as Word, Excel, PowerPoint, Outlook, etc.
- General knowledge of office practices, procedures, and methods.
- Ability to set own work priorities and be flexible in adjusting workload and variety of tasks assigned.
- Ability to quickly learn the general organization and operations of the Custodial department.
- Ability to accurately interpret school policies.
- Ability to perform basic accounting and payroll processes.
- Ability to draft professional correspondence for official department communications.
- Ability to interact with staff of various levels in a professional manner.
- Excellent organizational and time management skills
- Ability to handle sensitive information with discretion.
- Ability to read and interpret documents such as safety rules, OSHA guidelines, standard operating procedure manuals (e.g., SDS sheets, etc.).
- Ability to understand and follow oral and written directions.
- Ability to establish and maintain effective relationships with those contacted in the course of work.

EDUCATION AND EXPERIENCE REQUIREMENTS:
- Minimum: High School Diploma/GED and three years' general office experience.
- Desirable: Graduation from a two-year business school and one-year experience in position(s) focused on staffing, accounting, or payroll.
CERTIFICATION AND LICENSURE REQUIREMENTS:
- NC Notary Public desired.
