Description of primary duties and responsibilities::Primary Purpose of the Organizational Unit:
The campus Bronco Wellness program operates within the Student Health Service portfolio and focuses on the health and well-being of the campus community. The Bronco Wellness program offers tailored whole person-centered care and services towards illness prevention and health promotion, educational opportunities, and public health leadership and expertise. The program develops a health and wellness culture that empowers students, faculty, and staff to create and maintain healthier behaviors through education, programming, and support. One primary purpose is to help students make informed decisions that enhance individual success and live healthy balanced lifestyles that incorporate the positive attitudes and productive behaviors related to our nine dimensions of wellness.
Primary Purpose of the Position:
The Administrative Specialist will support the Health Program Manager and is responsible for establishing and maintaining the effective operation and procedures, and resources to facilitate organizational effectiveness and efficiency.
Please Note:Normal hours are Monday-Friday from 8:00 am-5:00 pm. This position may require after hours and weekends.
40% Maintain office services and efficiency·Maintain office services/efficiency:·Organize office operations and procedures·Monitor and maintain office supplies inventory· Anticipate needed supplies·Review and approve office supply acquisitions·Maintain a safe and secure working environment·Correspond and act as a liaison with departments to schedule health programming and presentations·Assist with maintenance of activities calendar and assist with coordinating semester events
30% Assist in program planning and implementation·Assist the Health Program Manager with program planning and events·Responsible for identifying and ordering materials and supplies needed for programs/events·Collect and accurately compile data from a variety of sources to generate relevant reports such as attendance and program evaluation using Google and Microsoft tools.·Assist with developing marketing materials for health programming
20% Assist with supervision of student organization associated with Bronco Wellness·Correspond with student members of the Bronco Wellness Ambassadors with updates on events·Assist with organizing meetings and working with student leadership·Assist with managing student volunteers
10% Assist with Budget Management·Assist with reviewing and approving supply requisitions·Assist in monitoring and reconciling expenses related to the Bronco Wellness budget·Assist with processing payments, invoices, and other financial related requests as assigned by the business operations
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Knowledge skills and abilities::Knowledge:Demonstrates in-depth knowledge of the area of specialization, the program, process, and/or organizational operation. May be the content/process resource.Information/Records Administration:Coordinates varied records processing activities requiring the application and some interpretation of agency procedures, policies, laws, and regulations. Reviews information for completeness and accuracy using multiple guidelines.Office Technology:Selects, understands and fully applies a variety of features in software programs, databases, information systems, and specialized equipment.Problem Solving:Recognizes, defines and resolves non-standard problems using operating procedures, practices and established precedents. Resolves recurring issues and problems as well as some unique situations. Anticipates problems and develops recommendations for management resolution
Communication-Verbal:Presents ideas in a clear, concise, organized manner. Explains and interprets programs, policies and procedures to meet the specific needs of staff and clients. Advises program staff/clients in all matters related to program operations.
Composes written communication:Composes and organizes ideas logically, works in multiple formats such as letters, memos, reports or presentations, and can change/adjust style to meet the needs of the program and audience. Reviews sensitive materials and edits content constructively with guidance using standard formats.
Bachelor’s degree and 2 years of relevant work experience
