POSITION DESCRIPTION
This position is responsible for processing invoices internally and scanning over to the corporate office. Receiving vendor payment checks from corporate office and mailing to vendors. A critical component of this role is consistent communication with all our vendors. Reconciling invoices to purchase orders and ensuring the purchase orders are closed out in the accounting system. Maintain accurate job cost records including importing of contract and cost estimates from estimating team. Review of active jobs monthly to ensure coding is accurate and assigned to correct projects.
ESSENTIAL DUTIES & RESPONSIBILITIES
* Investigates and settles problems associated with processing of invoices and purchase orders in a confidential and timely manner.
* Reconciles accounts and vendor statements by identifying errors in postings or omissions and works with corporate AP team to resolve.
* Verifies receipt of materials or services and matches invoices, shippers, and other documentation necessary to process payment and distribute checks according to established procedures.
* Maintain historical records for all accounts payable transactions.
* Manages vendor correspondence via phone or email and receives, researches, and resolves internal and external inquiries concerning account status.
* Receives non-Purchase Order invoices from vendors, routes invoices for approval manually and electronically.
* Work with Warehouse manager to conduct regular cycle counts to determine available inventory.
* Ensure proper coding of inventory items in the financial system, matching of the PO, Shipper, and invoice for proper reconciliation.
* Assist in the month end process of preparing journal entries and reconciliation of accounts.
* Ensure we are in good standing with all municipalities regarding business licenses and tax payments.
* Set up new projects in job cost system and any ancillary spreadsheets for internal tracking purposes.
* Reconcile the bid calendar to active jobs set up in the financial system to determine bids won that we are awaiting contracts for.
* Review project budgets, ensure change orders are entered and communicated to the project management team.
QUALIFICATIONS
* Experience in the Construction industry necessary.
* Experience with job costing and purchase order process necessary.
* High school diploma or equivalent - Advanced course work in bookkeeping or accounting desirable.
* 3-5 years of accounting experience preferred.
* Ability to deal with vendors and clients in an efficient and professional manner.
* Ability to utilize accounting systems efficiently.
* Ability to maintain concentration and high diligence while performing repetitive duties to ensure accuracy.
* Effective communication skills including active listening, asking appropriate questions, clarifying the issues, and expressing oneself clearly.
* Ability to work independently to solve problems.
* Ability to manage multiple tasks and prioritize workload based on company needs.
* Demonstrates a sense of urgency in completing all tasks.
* Proficient in Microsoft Office Suite.
* Additional tasks as requested by immediate supervisor or General Manager.
