Job Description
INDUSTRIAL, a growing industrial B2B marketing organization, is looking for a contract Bookkeeper to manage day-to-day finance functions - A/P, A/R, monthly invoicing and reporting for our clients, vendors, and internal teams across a portfolio of brands.
The contract Bookkeeper will be located at our Nashville HQ in historic Germantown with hybrid work options available. This role reports to the President.
RESPONSIBILITIES:
Conduct Daily Accounting Duties
- Manage all aspects of daily accrual accounting including, but not limited to: accounts receivable (A/R), accounts payable (A/P), revenue recognition, transaction reconciliation, and general ledger in QuickBooks Desktop 2022/2023 (GoToMyPC available for remote utilization).
- Invoice, receive, and recognize project revenue accurately and on time. Collaborate directly with our clients or their A/R representative to resolve questions and issues promptly.
- Plan and schedule remittance to third-party contractors, vendors, banks, and institutions ensuring all payables are submitted promptly and in accordance with terms.
- Manage bank purchase cards (P Cards) and corporate credit cards for paid media spend passthrough and department expenditures against established budgets.
- Manage SAP Concur Amex account to maximize usage of benefits and reduce hard costs for travel.
Improve Financial Budgeting & Reporting
- Collaborate with the President on weekly reconciliation, planning, and reporting for operating budgets at the organizational and department-level.
- Manage monthly/quarterly/annual book closing including journal entries, P&L reconciliation, and balance sheet analysis; report findings to the President.
- Comply with all local, state, and federal laws regarding finances, tax filings, and reporting. This includes, but is not limited to requirements for state business taxes, state F&E taxes, the Department of Labor, and the Internal Revenue Service.
Administer Employee Compensation & Finance
- Remit bi-monthly payroll and fringe payments to established benefits providers.
- Review, classify, and remit payment to employees for monthly expense reports and fringe benefits via QuickBooks.
QUALIFICATIONS:
- Ideal candidate has 5+ years of experience in the field of accounting, bookkeeping, agency or small business financial management.
- Exceptional knowledge of finance, accounting, budgeting, accrual accounting and accrual control principles.
- Advanced knowledge of bookkeeping and accounting best practices, standards, and state/national regulations.
- High proficiency in QuickBooks Desktop, Google Workspace, Microsoft Office Suite and spreadsheets a must.
- Knowledge of ADP or ADP Run payroll software a plus.
- Bachelor's degree in accounting, finance, business administration with an emphasis in Accounting, or a related field a plus
- Resourceful problem solver - able to anticipate roadblocks, develop and implement improvements or recommendations.
- Exceptional interpersonal skills necessary to interact with our clients, their support staff, and establish effective relationships at all levels of INDUSTRIAL.
- Excellent written and verbal communication skills. Notable attention to detail.
