Title:Assistant Office Manager, Reservation Supervisor and Marketing Assistant
Reports To: Office Manager and General Manager
Purpose and Scope: Under the general supervision of the Office Manager, the Assistant Office Manager is responsible for maintaining a high level of service for our guests and owners at Northern Hospitality Management (NHM) and associated companies. This position requires a thorough knowledge of resort and organizational policies and procedures as well as the ability to work independently, exercising judgment and initiative. This position works with the other departments in the resort to ensure a smooth and enjoyable vacation experience for all the guests and owners at The Lodges.
Supervisory Responsibility This position is responsible for supervising the front desk and customer service staff.
Work Environment This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. Visible daily tours of the property for customer satisfaction and operational standards.
Position Type and Expected Hours of Work: 40-hour work week from the beginning of April until the beginning of November. Sundays are a required workday during this timeframe. In the off-season the schedule is more flexible with a requirement of 40 hours per week with flexibility on the weekends.
Responsibilities:
- Administer and perform administrative and clerical functions for NHM and associated companies.
- Phone Sales and in-person sales include giving tours of the property when requested.
- Maintain and Optimize Online sales and coordinate with the Online Booking Manager
- Maintain reservations database to be sure all the reservations are correct. Contact owners and future guests prior to arrival and maintain correspondence to be sure all reservations and arrivals are accurate.
- Maintain Social Media Posts and the website updates to be sure all is accurate.
- Manage front desk, updates the Boathouse display sign and menus as needed.
- Monitor listings for open times and answer any online reviews or surveys.
- Assist The Boathouse Restaurant in clerical duties.
- Coordinate staff coverage of office open hours and post schedules in a timely manner.
- Answer telephone, transfer calls, and greet visitors to the office.
- Perform correspondence with all required parties, by email and mail.
- Coordinate with advertising staff of specials and email blast requests.
- Keep inventory of apparel and other items to be sold in onsite store.
- Resolve customer complaints and issues in a timely manner
- Work with Office Manager in group sales and events.
- Provides support to the General Manager, Office Manager, Events Coordinator and Bookkeeper as needed.
- All other responsibilities as needed and requested by Management staff.
