Position Overview:
We are seeking a dedicated and organized Administrative Assistant to support the Chief Clinical Officer at The W Group. This position plays a crucial role in ensuring efficient operation within the clinical department by providing administrative support, managing schedules, coordinating meetings, and assisting with various projects. The ideal candidate will be proactive, detail-oriented, and capable of handling sensitive information with discretion.
Responsibilities:
. Provide administrative support to the Chief Clinical Officer, including managing calendars, scheduling meetings, and handling correspondence.
. Coordinate and schedule appointments, conferences, and travel arrangements as needed.
. Assist in preparing and distributing documents, presentations, and reports for meetings and presentations.
. Maintain accurate records and databases, ensuring information is up-to-date and easily accessible.
. Serve as a liaison between the Chief Clinical Officer and internal/external stakeholders, including staff, clients, and vendors.
. Prepare and process expense reports, invoices, and other financial documents.
. Assist with special projects and initiatives as assigned, including research and data analysis.
. Handle sensitive and confidential information with discretion and professionalism.
. Contribute to a positive and collaborative work environment, demonstrating a commitment to teamwork and mutual support.
Qualifications:
. Proven experience as an Administrative Assistant or similar role, preferably in a healthcare or clinical setting.
. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
. Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
. Strong communication skills, both written and verbal, with a professional and courteous demeanor.
. Ability to maintain confidentiality and handle sensitive information with discretion.
. Detail-oriented with a high level of accuracy in work.
. Adaptability and flexibility to meet changing priorities and deadlines.
. Positive attitude, proactive approach, and willingness to learn and grow within the company.
