Job Overview:
We are seeking an enthusiastic Administrative Assistant/Marketing Coordinator to join our team! This role is a shepherd of the CenterSquare brand responsible for various office management tasks and projects to ensure the efficiency and effectiveness of the marketing team. The ideal candidate is highly professional, proactive and takes pride in their work. This individual will offer a friendly and hospitable greeting to our guests and a positive and helpful attitude as they provide support across the organization, resulting in the seamless operation of the office environment. This is a full-time, in-office position located in our Conshohocken, PA office. Typical business hours are 8:30-5:30 Monday-Friday.
Administrative Responsibilities:
- General office management, including coordinating meeting schedules, setup/cleanup of lunch meetings, maintaining an adequate inventory of office supplies, and handling maintenance issues by coordinating with the management company
- Greet guests as they arrive, ensuring a positive and professional experience
- Maintain a clean and professional office environment, including conference rooms, reception area and kitchen
- Review and distribute incoming mail and assist with UPS account management/invoices
- Manage Concur expense reimbursement system
- Answer the phone, including responding to inquiries, properly routing calls and taking detailed messages
- Documentation management both on and off-site
- Assist with the onboarding/offboarding of employees
- Assist in preparation of marketing materials for internal and external meetings
- Ad-hoc projects as directed by Executive Assistant and CAO
Marketing Responsibilities:
- Inventory and ordering of various marketing supplies and prep for internal and external meetings
- Own and manage operational reporting (operational metrics, project management, resourcing, tools, tech, etc.)
- Assist in pulling data from various sources (Salesforce, Marketing Cloud, etc.)
- Assist in analyzing data to generate actionable insights
- Create and manage campaign project plans to communicate scope and meet deadlines as required
- Manage project workflows for the marketing team
- Develop and maintain marketing best practices, including documentation, standard operating procedures, and training
- Maintain organization of marketing assets, including documentation, standard operating procedures, and training
- Ad-hoc projects as directed by head of Marketing
Qualifications:
- Proficient with MS Office Suite (Powerpoint, Word, Excel)
- Knowledge or experience working in Adobe Creative Suite a plus, but not required
- Highly professional demeanor
- Excellent verbal and written communication skills
- Proven ability to multi-task
- Excellent organizational skills and attention to detail
- High School Diploma required; Associate’s or Bachelor’s in Business Administration, Marketing, Communications a plus
