Assistant Office Manager (Accepting Experienced Applicants)
Want a career in commercial real estate? A successful and established Houston commercial real estate firm is currently seeking an Assistant Office Manager for a portfolio of multiple commercial properties in Houston and surrounding areas. Must be able to assist and complete the daily responsibilities below:
- Directly supervise front desk
- Work closely with Tenants to resolve and follow-up on any issues
- Work independently to seek bids from vendors, and prepare bid comparison for property manager
- Be the available point of contact for multiple vendors and contractors
- Coordinate with accounting to update and maintain former and new tenant contact information database
- Assist accounting department with completing basic and minor accounting tasks
- Assist accounting department with completing accounts payable and receivables
- Maintain a system database for tenant and vendor insurance
- Prepare monthly and quarterly investor partnership checks and letters for ownership
- Work Closely with Leasing Agent on creating leases, assignments and keeping up with LoopNet updates
- Assist Property Manager in rent collections as needed
- Assist in the monitoring of timely receipt and reconciliation of rent collections and ensure landlord/tenant statutes are followed
- Assist in managing building maintenance projects
- Communicate with Property Manager regarding current property issues
- Maintain tenant communication and relationships
- Maintain records, reports and files
- Assist the Property Manager in supervising on-site staff
- Answer telephone as needed

- Excellent written and verbal skills
- Knowledge of on-site maintenance as well as experience with vendors and contracts
- The ability to work effectively in a high paced environment
- Must demonstrate tact and diplomacy as well as have a strong customer service orientation
- Intermediate knowledge of computers and Microsoft office programs (Excel, Word and Outlook)
- Professional, business attire required

Pay: From $20.00 per hour
Expected hours: 40 per week
