1) To re-envision how the Health Department prepares for and responds to health emergencies, with a focus on building a “response-ready” organization, with faster decision-making, transparent public communications, and stronger surveillance and bridges to healthcare systems 2) Address and prevent chronic and diet-related disease, including addressing rising rates of childhood obesity and the impact of diabetes, and transforming our food systems to improve nutrition and enhance access to healthy foods
3) Address the second pandemic of mental illness including: reducing overdose deaths, strengthening our youth mental health systems, and supporting people with serious mental illness
4) Reduce black maternal mortality and make New York a model city for women’s health
5) Mobilize against and combat the health impacts of climate change

The Division of Epidemiology works to improve the health of all New Yorkers through population health surveillance and research, public health workforce development, and vital records services. We value data accessibility, high-quality customer service, collaboration, and equity. Within the Division of Epidemiology, the Bureau of Administration provide timely and effective administrative support to division of EPI programs and staff for purchasing, contracts, grants, personnel services, fiscal management, facility maintenance, compliance and administrative data reporting and office management. The Fiscal Management & Administrative Service Unit provides Division staff with support and customer service in many areas such as business travel, information technology, calendar management, data reporting, audit/compliance, and managing the operating budget to ensure the timely acquisition of goods and services.
PROGRAM AND JOB DESCRIPTION:
The Administrative Services Coordinator will support the Administration team by serving as primary coordinator on a portfolio of projects and initiatives around enhancing administrative processes and customer service amongst division staff as well as move the priorities of the agency forward.
  • Coordinate the development and implementation of a comprehensive customer service improvement strategy that includes a new, web-based request form for admin good and services, quarterly roadshow presentation management, and the dissemination and analysis of an annual division-wide customer service survey. Maintain accurate accounting of discussions/activities and ensure information is shared with all stakeholders as needed.
  • Coordinate a host of equity-related activities such as assisting the Senior Director with the facilitation of the quarterly Pay Equity Protocol, serving as co-lead and EEPRT liaison on the Division Action Team and assisting with the development and implementation of current and future equity-related administrative projects.
  • Serve as the bureau's primary training & compliance liaison coordinating division-wide DCAS professional development training opportunities, internal mandatory trainings and compliance for the division. Maintain accurate accounting of expenses, ensure programs budgets are spent appropriately, and ensure all payments are made as agreed.
  • Assist with the planning and coordination of the Monthly Administrative Review Meetings between Bureau Leadership and Division Administration. Gather and compile agenda items and updates from staff; provide record of discussions and pertinent decisions and/or actions items.
  • Maintain shared folders and TEAMS groups as assigned. Facilitate efficient exchange of information between EPI admin and division leadership. Solicit information as needed and maintain accurate tracking.
  • Coordinate financial and reporting aspect of the centralized Health Research Training Program (HRTP) administrative activities. Maintain accurate tracking of finances and position management to ensure timely reporting to division and agency stakeholders. Collaborate with the Personnel Services Unit to ensure planning and execution of new and continuing interns are done in a timely manner.
  • Enhance and encourage equitable communication of admin-related policies and procedures to all staff on a consistent basis by collaborating with internal and external stakeholders to maintain a repository of documents and documents. Make necessary updates as requested.
  • Garner division support of EPI admin-related activities and events by creating and disseminating event flyers, emailing reminders and calendar invites.
  • Serve as EPI Admin Comms Liaison by collecting updates from EPI Admin directors as requested by the CORE Communications Team timely and efficiently. Provide timely updates as requested by designated workgroup(s).

A master’s degree from an accredited college or university, accredited by regional, national, professional or specialized agencies recognized as accrediting bodies by the U.S. Secretary of Education and the Council for Higher Education Accreditation (CHEA) in economics, finance, accounting, business or public administration, human resources management, management science, operations research, organizational behavior, industrial psychology, statistics, personnel administration, labor relations, psychology, sociology, human resources development, political science, urban studies or a closely related field, and one year of satisfactory full-time professional experience in one or a combination of the following: working with the budget of a large public or private concern in budget administration, accounting, economic or financial administration, or fiscal or economic research; or in management or methods analysis, operations research, organizational research or program evaluation; or in personnel or public administration, recruitment, position classification, personnel relations, labor relations, employee
benefits, staff development, employment program planning/administration, labor market research, economic planning, social services program planning/evaluation, or fiscal management; or in a related area; or
2. A baccalaureate degree from an accredited college or university, accredited by regional, national, professional or specialized agencies recognized as accrediting bodies by the U.S. Secretary of Education and the Council for Higher Education Accreditation (CHEA) and three years of satisfactory full-time professional experience in the areas described in “1" above.


Preferred Skills

You will need strong written and verbal communication skills, experience with organizational development and change management skills, analytical thinking, and attention to detail. Project management experience preferred. Content design and engagement experience preferred.
Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
