Max Construction Company is looking for a responsible, trustworthy, hard-working and energetic Receptionist & Administrative Assistant to join our growing, fast-paced team. This job is a full-time position, Monday to Friday.
Primary function will be front desk receptionist, answering multi-line phones, typing, faxing, copying, scanning, filing, shipping, and managing and purchasing office supplies.
This position also provides administrative support to the entire staff.
Candidate must be proficient in Microsoft Office (Outlook, Word, and Excel). Organizational skills, time management, and good communication are imperative. We are looking for a hard worker and a fast learner with a positive attitude to join our team!
Responsibilities:
· Greet and welcome visitors in a professional and friendly manner.
· Answer and direct phone calls, take messages, and provide information as needed.
· Manage the reception area, ensuring it is clean and organized.
· Assist with project coordination and administrative tasks as assigned.
· File and maintain documents, both physical and electronic. Create new job and general files, filing documents, keeping the file room organized, and boxing up files at year-end.
· Provide general administrative support to the team.
· Provides all general clerical support, including but not limited to copying, faxing, word processing, sorting, filing and record keeping.
· Prepare UPS/USPS/FedEx packages for staff.
· Receive, open, sort, and distribute mail daily.
· Maintain and order office supplies while keeping mail room, supply room, and kitchen stocked and organized.
· Operates and maintains office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.
Qualifications:
- Previous experience as a receptionist or administrative assistant preferred
- Proficient in using phone systems and office equipment
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Computer literacy, including proficiency in using Microsoft Office (Outlook, Word, Excel)
- Excellent phone etiquette and communication skills
- Ability to handle confidential information with discretion
- Proactive and detail-oriented approach to work
- Ability to work independently as well as part of a team
