Job Description:
We are seeking a competent and reliable Medical Practice Administrative Assistant to join our team. The ideal candidate will be responsible for efficiently managing various administrative tasks and other office employees to ensure the smooth operation of our medical practice. As the first point of contact for many patients, excellent communication skills and a compassionate demeanor are essential.
Responsibilities:
- Leading a small group of staff employees, providing guidance, training, and support as needed to ensure efficient and effective performance.
- Answering phones promptly and professionally, directing calls as necessary.
- Checking in and checking out patients, ensuring accurate documentation and timely processing.
- Scanning and uploading insurance cards and other necessary documents into electronic records.
- Responding to patients via texting app, addressing inquiries and scheduling requests promptly.
- Handling incoming and outgoing mail, including sorting and distributing correspondence.
- Scanning and uploading Explanation of Benefits (EOBs) to the billing team for processing.
- Entering patient payments received via mail into the system accurately.
- Providing patients with financial and balance information, explaining charges and payment options.
- Checking and managing office email, responding to inquiries and forwarding important messages.
- Gathering and organizing surgery paperwork, ensuring completeness and accuracy.
- Explaining surgery responsibilities to patients, addressing concerns and providing support as needed.
- Scheduling appointments, surgeries, and follow-up visits efficiently, coordinating with patients and staff.
- Monitoring incoming faxes and distributing them to appropriate personnel.
- Ensuring all referrals are scheduled and following up on pending referrals as needed.
- Demonstrating knowledge of insurance benefits and explaining them to patients effectively.
- Submitting medical records in a timely manner as required by regulations or patient requests.
- Assuring that FMLA/STD forms are completed, uploaded, and faxed promptly.
- Entering self-pay charges accurately into the billing system.
- Scheduling PreOp/PostOp appointments within appropriate time frames, coordinating with patients and providers.
- Completing assigned tasks and messages promptly and efficiently.
- Relaying messages to the appropriate staff members and ensuring timely follow-up.
- Assisting other staff members with their duties as needed to maintain workflow and patient satisfaction.
Qualifications:
- High school diploma or equivalent required; Associate's degree or higher preferred.
- Previous administrative experience in a medical office setting
- Proficiency with office software (e.g., Microsoft Office Suite) and electronic health records (EHR) systems.
- Excellent communication skills, both verbal and written.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize tasks effectively.
- Compassionate demeanor and ability to provide excellent customer service.
- Knowledge of medical terminology and insurance processes.
- Ability to maintain confidentiality and adhere to HIPAA regulations.
